Operations Coordinator - Respawn Studios

Job Title: Operations Coordinator
Location: Vancouver, BC (Great Northern Way) / Hybrid
Organization: Respawn Entertainment (Electronic Arts)
Reports To: Head of Operations, Respawn Studios

Role Overview

Respawn Entertainment is seeking an organized, proactive, and detail-oriented Operations Coordinator to join our Studio Operations team. Reporting directly to the Head of Operations, you will play a critical role in optimizing our outsourcing and external vendor operational workflows across game development teams.

In this role, you will act as the operational bridge connecting Game Team Production with internal central partners-including Legal, IT, Finance, and Service Delivery-ensuring that vendor contracts, work orders, IT environment setups, and invoice processing run seamlessly and efficiently.

Key Responsibilities
1. Outsourcing Vendor Contracting & Financial Processing
  • Contract & Work Order Execution: Partner with Game Team Production to route, track, and process new outsourcing vendor contracts and statements of work (SOWs) through internal Legal, IT, and Finance review pipelines.
  • Invoice & Payment Management: Oversee the invoice approval and payment workflow, working closely with central Finance and Accounts Payable to ensure timely processing and accurate tracking against project purchase orders.
  • Cross-Functional Routing: Serve as the primary point of contact for resolving bottlenecks during vendor contracting and financial approval cycles.
2. External Vendor IT Onboarding & Access Management
  • Service Delivery Partnership: Collaborate directly with the Respawn Studios Service Delivery Lead to ensure timely onboarding and offboarding of external vendor personnel.
  • IT Environment & Permissions Setup: Facilitate accurate provision and de-provisioning of hardware, software licenses, network access, and studio permissions for external vendor teams based on production schedules.
3. Operational Process Automation & Reporting
  • Program Management Alignment: Partner with the Respawn Studios Program Manager to establish and maintain streamlined operating procedures for vendor management.
  • Automated Reporting & Alerts: Help implement automated monitoring systems, tracking dashboards, and proactive alerts to ensure critical milestones-such as contract renewals, work order expirations, and invoice deadlines-are completed on time.
  • Continuous Operational Improvement: Identify friction points in current vendor workflows and propose scalable, process-driven improvements to support studio growth and multi-project development demands.


Qualifications
  • Experience: 2-4 years of operational, administrative, or project coordination experience within video game development, entertainment, software, or technology industries.
  • Vendor & Financial Operations: Familiarity with contract lifecycle management, purchase order generation, invoice processing, and financial approval workflows.
  • Cross-Functional Coordination: Proven ability to work effectively with diverse teams across Production, Legal, IT, Finance, and external vendor partners.
  • Tool & System Proficiency: Experience using enterprise management, task-tracking, and procurement tools (e.g., Jira, Confluence, Airtable, SAP, or similar financial/procurement platforms).
  • Communication & Organization: Strong written and verbal communication skills, exceptional attention to detail, and the ability to manage multiple competing priorities in a fast-paced environment.


Preferred Qualifications
  • Experience working within AAA game studio operations or centralized production support environments.
  • Basic understanding of IT permissions, asset management, and vendor onboarding compliance frameworks.
  • Experience setting up automated tracking dashboards or operational reporting tools.

COMPENSATION AND BENEFITS

The ranges listed below are what EA in good faith expects to pay applicants for this role in these locations at the time of this posting. If you reside in a different location, a recruiter will advise on the applicable range and benefits. Pay offered will be determined based on a number of relevant business and candidate factors (e.g. education, qualifications, certifications, experience, skills, geographic location, or business needs).

PAY RANGES

* British Columbia (depending on location e.g. Vancouver vs. Victoria) *$74,100 - $102,000 CAD

Pay is just one part of the overall compensation at EA.

For Canada, we offer a package of benefits including vacation (3 weeks per year to start), 10 days per year of sick time, paid top-up to EI/QPIP benefits up to 100% of base salary when you welcome a new child (12 weeks for maternity, and 4 weeks for parental/adoption leave), extended health/dental/vision coverage, life insurance, disability insurance, retirement plan to regular full-time employees.
