A highly regarded, midtown Manhattan-based AmLaw 200 law firm is seeking a Legal Assistant / Legal Secretary to provide sophisticated administrative and legal support to attorneys across a fast-paced, client-focused practice. Responsibilities include preparing and managing legal documents, coordinating transactions and client matters, maintaining case and file organization, handling billing and expense processes, and supporting attorneys with day-to-day practice management. The ideal candidate is exceptionally organized, detail-oriented, proactive, and comfortable managing multiple priorities in a deadline-driven environment.
Job Responsibilities- Prepare, proofread, edit, and format complex legal documents, correspondence, reports, presentations, and transaction materials using advanced document formatting tools.
- Coordinate the execution of legal documents through electronic signature platforms and assist with transaction closings, closing sets, and electronic binders.
- Provide administrative support to attorneys, including drafting routine correspondence, managing calendars, coordinating travel arrangements, and processing expense reimbursements.
- Maintain organized electronic and physical client files, ensuring accurate recordkeeping and compliance with firm policies and procedures.
- Support client intake and matter management by preparing engagement letters, opening new matters, and completing required onboarding documentation.
- Manage billing and financial administration, including reviewing pre-bills, entering attorney time, processing expenses, coordinating with the billing department, and responding to client billing inquiries.
Qualifications- 5+ years of legal secretary or legal assistant experience, preferably supporting partners in a law firm environment.
- Knowledge of legal document management systems, AI platforms, client intake procedures, and legal billing practices.
- High-degree of technical skills, including with MS Office Suite, iManage, 3E, Chrome River
- Demonstrated experience providing administrative and legal support within a law firm, corporate legal department, or other professional services setting.
- Strong proficiency in preparing, editing, and formatting complex legal and business documents with exceptional attention to detail.
- Excellent organizational, communication, and multitasking skills, with proficiency in Microsoft Office and legal timekeeping, billing, and document management software.
Compensation: $85,000-$95,000Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications.
