Facilities Manager - Retail Portfolio Position OverviewDynamic career opportunity for a passionate and creative retail-focused Facilities Manager in a virtual role supporting a distributed portfolio. The Facilities Manager serves as primary point of contact responsible for management of facilities, vendors, and small projects. This role executes reactive and planned work, ensures on-time response and completion according to account specifications and site knowledge, maintains budget alignment, and develops client relationships with key representatives to support corporate real estate goals and objectives.
Key ResponsibilitiesFacility Management Engage with individual client and site employees to gain situational knowledge to successfully address, manage, and deliver resolution for reactive facilities repairs. Establish positive relationships with property owners and property maintenance/engineering staff. Successfully manage high volume of work orders and vendors across large, distributed portfolio of locations. Demonstrate excellent communication and organizational skills working across multitude of facilities, business lines, managers, and responsibilities. Meet or exceed Key Performance Indicators (KPIs) and monitor Service Level Agreements (SLAs) monthly to identify potential challenges and plan corrective actions. Drive development and implementation of IFM best practices and innovations through collaboration and teamwork. Support compliance with JLL's audit and compliance standards in facility management, financial management, and operational policies and procedures. Supervise vendors, contractor performance, project schedules, and budget during normal and off hours including weekends when necessary. Utilize working technical knowledge of retail construction and light project management to gain cost and quality effective bids and quotes from vendors on behalf of client.
Administrative / Work Order Management Manage work order process and systems and associated data platform as it relates to performance management, reporting, and maximizing CMMS work order capability. Serve as point of contact to account team for CMMS (Corrigo) systems related questions, support issues, and requirements. Responsible for production of recurring and ad-hoc account reporting including work order activity, scheduled maintenance, service level compliance, labor reporting, project reporting, incident reporting, and training. Receive invoices, review for correctness according to work order data, and approve or deny vendor payment. Manage certificate of insurance documentation.
Required Skills- Bachelor's degree or equivalent work experience in Facilities, Construction, or Project Management
- Minimum 5 years industry experience in corporate environment, third party service provider, or as consultant
- Strong organizational, management, interpersonal, and supervisory skills
- Flexibility and adaptability to changing priorities
- Strong knowledge of real estate, construction, elevators, and project management
- Excellent verbal and written communication skills
- Proficiency in MS Office, Excel, and SharePoint
- Computer proficiency in Computerized Maintenance Management System (CMMS): Corrigo, 360 Facility, Maximo, or similar platforms
- Ability to work normal and off hours including weekends when necessary
- Strong ability to manage high volume of work orders across distributed portfolio
Preferred Skills- Retail or multi-site facilities and construction experience
- Advanced knowledge of retail construction specifications and requirements
- Experience managing geographically dispersed portfolios
- Project management certification (PMP or equivalent)
- Experience with vendor management and contract negotiation
- Financial management and budget forecasting experience
- Experience with data analysis and reporting tools
- Knowledge of industry compliance standards and best practices
- Experience implementing process improvements and best practices

Estimated compensation for this position:135,000.00 - 140,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
