Job Description

We are seeking an experienced Executive Technical Writer to join our team. In this dynamic role, you'll perform a variety of administrative and technical writing tasks to support day-to-day operations and ensure smooth organizational workflows. As a key member of our team, you'll collaborate with internal stakeholders and external partners to facilitate effective communication, oversee critical projects, and prepare high-quality documentation that supports our mission and operational objectives.

Key Responsibilities:
  • Perform a range of administrative duties, including scheduling, meeting coordination, and preparation of reports, presentations, and other supporting materials.
  • Provide logistical support for events and meetings, including selecting venues, setting up equipment, preparing agendas, and distributing materials.
  • Collaborate with internal teams and external partners to support cross-functional projects and ensure the seamless flow of information.
  • Manage vendor accounts and coordinate with external service providers, including processing orders and handling administrative tasks.
  • Implement process improvements to enhance operational efficiency and ensure compliance with organizational policies and regulations.
  • Coordinate and lead special projects involving multiple departments, serving as a central point of contact for all related inquiries.
  • Prepare and manage communications materials, presentations, and supplies, respond to inquiries, and manage incoming/outgoing mail.
  • Record and distribute meeting minutes, ensuring the accurate transcription of technical or sensitive information.
  • Develop, edit, and manage a variety of technical and administrative publications, including reports, manuals, proposals, instructions, and other materials.
  • Ensure accuracy, clarity, and adherence to internal documentation standards through proofreading and document review processes.


Qualifications

Required Skills and Expertise:
  • BS and 6 years of professional experience (4 years experience in lieu of degree)
  • At least two (2) years experience providing executive-level support to leadership within the Department of Homeland Security (DHS), its Component agencies, or an organization of similar size and complexity.
  • Active Secret clearance requiring U.S. Citizenship
  • Comprehensive knowledge of administrative and technical writing processes.
  • Familiarity with industry practices and principles for administrative and technical writing.
  • Proficiency in professional written and verbal communication, with the ability to create clear and concise documents.
  • Strong organizational skills and the ability to prioritize tasks independently in a dynamic environment.
  • Proficiency in software and tools for documentation, scheduling, and communication.
  • Regular collaboration with internal and external stakeholders, requiring professional communication for routine and complex interactions. Ability to represent the organization in projects or discussions involving sensitive or critical topics.
  • Ability to work with limited supervision, applying established policies and practices to solve routine and moderately complex issues. Guidance will be provided for new or atypical challenges.

Preferred Skills and Certifications:
  • Certifications: FOIA (Freedom of Information Act) and Privacy Act Certifications preferred.
  • Security Clearance: Active Secret Clearance preferred.
  • DHS or CBP Suitability highly desirable.
