Full Job Description
The Position

The Executive Operations Coordinator serves as a trusted partner to the Site Head and Facilities Team, providing executive-level operational support while enabling efficiency, effectiveness and consistency across the site. This position is an important driver in the day-to-day operations across the Boulder site. The position is responsible for helping to execute the site master plan and drive maximum efficiency, effectiveness and consistency impact for these locations.

Relationships

This role will report to the Site Head. Provides direct support to one or more leaders while fostering collaboration across departments and external organizations. Collaborate with CMC Drug Development.

Essential Functions
  • Provides administrative oversight and support for day-to-day on-site operations, helping ensure the Boulder locations run efficiently and in compliance with local requirements
  • Partners with Facilities and Operations on building and office management, including front desk coordination, to maintain a safe, comfortable and collaborative workplace
  • Supports the Site Head's priorities and strategic objectives with a high degree of autonomy, discretion and sound judgment
  • Coordinates executive priorities, calendars, complex travel, vendors, industry conferences and site events in collaboration with relevant teams and functional leads
  • Supports operational and business activities through purchase order processing, expense reconciliation and administrative coordination, while handling confidential information and sensitive matters professionally
  • Promotes high-quality standards, efficient processes and continuous improvement by identifying opportunities to improve site operations and governance
  • The position operates with a high degree of autonomy supporting organizational priorities and the strategic objectives of the Site Head
  • Fosters collaboration among administrative staff to support consistent office, administrative and site services
  • Uses sound judgment to prioritize requests and determine when matters should be escalated


Physical Requirements

0-10% overnight travel required.

Qualifications
  • Bachelor's degree required with 2 years' experience in a coordination role
  • Must exercise a high degree of professionalism, diplomacy and discretion in handling confidential information and sound judgment and confidentiality
  • Requires top caliber interpersonal skills: ability to communicate, present and explain across multiple cross-functional stakeholders, management levels and members of the leadership team
  • Must be a self-starter who assumes accountability for initiatives from start to completion
  • Requires strong organizational skills; ability to prioritize and manage through complex processes/projects
  • Comfortable collaborating with all levels of the organization as well as with external customers and vendors
  • Exceptional Microsoft Office skills, Internet research abilities and time management skills
  • Ability to work independently and collaboratively, act as role model, provide leadership and guidance to administrative support team
  • Forward thinking, ability to foresee and intercept conflicts before they arise and make timely decisions
  • Problem solving skills
  • Excellent organizational skills and attention to detail
  • Requires complete integrity, presence, confidence and flexibility in a dynamic, ever-changing environment
  • Coupa super-user experience preferred


The base compensation range for this position is $95,000 to $127,000. Base compensation is determined based on a number of factors. This position is also eligible for a company bonus based on individual and company performance. Novo Nordisk offers long-term incentive compensation and or company vehicles depending on the position's level or other company factors.
