Summary/Objective

The Executive Assistant provides high-level administrative support to the Programs and Strategy executives. This role ensures efficient day-to-day operations by managing schedules, supporting cross-functional projects, tasks, and handling a wide range of administrative and logistical arrangements as needed. This position works as part of the Foundation team, is committed to collaboration, uplifting grant recipients, and is grounded in kindness, respect, grace, and humility.

Essential Responsibilities

  • Exercises independent judgment and discretion on matters of significance to prioritize and manage competing demands for the Program and Strategy executives' time and resources by triaging meeting and task requests, proactively supporting complex scheduling, and maintaining dynamic calendars that balance strategic priorities, deadlines, and availability.


  • Manages a wide variety of administrative tasks for the Programs and Strategy executives, including coordinating travel arrangements, expense reports, and outgoing/incoming mail.


  • Manages projects for the Programs and Strategy executives.


  • Assists with internal and external meetings, including logistics, agendas, and materials.


  • Takes and distributes meeting notes, tracks action items, and ensures follow-up on deliverables.


  • Serves as liaison between internal groups and external partners to enhance cross-collaboration and maintain alignment requirements of the Program and Strategy executives.


  • Maintains files for the Programs and Strategy executives, with discretion and well-organized manner.


Qualifications

  • Alignment with the Foundation's mission and vision.


  • Minimum of 3-5 years of experience supporting a professional office environment, including managing sensitive matters and situations with discretion and diplomacy, ideally in direct support of a senior executive with external stakeholders.


  • Results in relationship building within cross-functional internal teams and external stakeholders.


  • Experience working with foundations, nonprofit leadership, or nonprofit or corporate boards preferred.


  • Occasional travel may be necessary.


  • A valid driver's license and insurance.


Educational Requirements

  • High school degree or higher preferred. Experience can substitute.


Position Competencies

  • Excellent verbal and written communication skills.


  • High proficiency with office management systems and procedures, standard office equipment, and collaborative software, including Microsoft Office, Teams, and others.


  • Self-motivated, strong organizational skills, ability to manage several tasks simultaneously and shift emphasis based upon changing criticality.


  • Bridge-building ability to establish a network and collaborate with peers of partner organizations.


Compensation

  • Job Classification: Salary, overtime exempt.


  • Pay Range: $68,796 - $114,661
