Job Brief

We're partnering confidentially with an early-stage, AI-native biotech company working at the intersection of artificial intelligence, biology, and drug discovery.
With a highly accomplished founding team and an ambitious mission, the organization is growing quickly and looking for an exceptional Executive Assistant & Office Manager to become a critical part of its early team.
This is a high-trust, high-ownership role for someone who can move quickly with minimal direction, anticipate what needs to happen next, and create structure in an environment where priorities evolve constantly.
You'll support the founding team while taking ownership of the office and day-to-day operations, allowing the team to stay focused on science, product, and company growth.

The Role

This position combines executive support with hands-on office operations. You'll work closely with the founding team, managing everything from complex calendars and international travel to office vendors, supplies, events, and operational processes.
The ideal candidate is proactive, exceptionally organized, low-ego, and comfortable being the person who simply gets things done.

What You'll Do

Office Management & Operations
  • Lead an upcoming office move from planning through completion, including furniture, supplies, vendors, and setup
  • Own day-to-day office operations including meals, snacks, cleaning, supplies, and vendor relationships
  • Build and document operational processes that keep the workplace organized and efficient
  • Serve as the go-to person for onsite needs and help ensure the team has everything required to do their best work
Executive & Team Support
  • Support the founding team with calendars, scheduling, and meeting logistics
  • Coordinate complex domestic and international travel, including flights, hotels, accommodations, and expenses
  • Manage expenses, reimbursements, and related administrative tasks
  • Anticipate executive needs and proactively handle logistics before being asked
  • Take ownership of special projects that free the founding team to focus on their highest-priority work

Personal Support
  • Provide occasional personal support to founders when needed
  • Help coordinate personal logistics and requests with discretion and professionalism
  • Maintain appropriate boundaries while serving as a trusted and reliable resource
What We're Looking For
  • 3+ years of experience as an Executive Assistant, Office Manager, or a combination of both
  • Experience working at a fast-growing startup is strongly preferred
  • Exceptional organization, follow-through, and judgment
  • Highly proactive with the ability to identify what needs to be done without waiting for direction
  • Comfortable operating with minimal oversight and low administrative overhead
  • Collaborative, team-oriented, and willing to step in wherever needed
  • Comfortable working onsite every day
  • Available outside standard business hours when time-sensitive situations arise
  • Strong discretion when handling confidential business, scientific, and personal information

Nice to Have
  • Experience combining executive support with office management responsibilities
  • Experience directly supporting founders or a founding team
  • Exposure to biotech, life sciences, healthcare, or scientific environments
  • Experience managing office moves, vendors, workplace operations, or startup infrastructure
