What you'll do
  • Coordinate all internal and external meetings and manage the prioritization of meetings according to the needs of the CEO and CTO. Meetings will include all internal meetings, customer meetings, leadership and board meetings, as well as any company offsites, all-hands etc.
  • Manage daily calendar for both the CEO and CTO
  • Manage basic email correspondence and communications
  • Prepare agendas and documentation as required for meetings, as well as tracking meeting deliverables and outcomes
  • Manage travel (booking flights, coordinating hotels) and business expenses
  • Support planning of any business related events (conferences, customer meetings, community events)
  • Serve as the point of contact for office vendors (e.g., cleaning, catering, IT support) and ensure facilities issues are addressed promptly
  • Ensure the office is well-stocked and running smoothly - including managing snacks, coffee, fruit, and general supply orders
  • Assist with light HR admin tasks - coordinating team birthdays, onboarding of new hires, anniversaries, offsite logistics, and internal culture moments
  • Handle miscellaneous day-to-day needs for the leadership team or broader office, jumping in wherever help is needed
  • Provide personal assistant support to the CEO and CTO - including scheduling personal appointments, handling reservations (travel, dining, wellness, etc.), managing errands or purchases, coordinating household services when needed, etc.


What you'll need to get the job done
  • Previous experience in a similar Executive Assistant role, supporting C-suite executives
  • Exceptional organizational skills - able to balance moving priorities and adapt to a fast paced environment
  • Ownership - someone who wants to own this key role in the organization and have a real impact
  • Excellent communication skills, attention to detail and high degree of professionalism
  • Wants to be in the office 5 days a week with the team!
