Overview:

Provide comprehensive administrative support to the Clinical Services Group and U.S. Sales & Marketing organization, including coordination of business travel, expense reporting, meetings and events, and clinician engagements. Ensure seamless day-to-day operations through effective scheduling, communication, and execution of a wide range of administrative activities.

Essential Job Functions:
  • Manage schedule and calendar of management with attention to accuracy and detail, including keeping Executive informed of calendar changes and change requests
  • Use relevant systems to prepare correspondence and presentations, and support data entry and reporting for departmental and executive needs.
  • Manage and coordinate meetings, events, travel logistics, and office supply needs to ensure seamless support for departmental and executive priorities.
  • Ensure the preparation of information, documents, and logistics for assigned departments or executive level management
  • Schedule domestic and international travel in compliance with existing policies and procedures, to optimize use of Executive's time and schedule
  • Support additional administrative or operational tasks as needed.


Requirements:
  • High school diploma with 6 years of experience directly related to executive administrative support of senior leaders
  • Excellent written and verbal communications skills, including negotiating and relationship management skills
  • Extensive knowledge and understanding of company policies, procedures, and administrative requirements
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Advanced problem-solving skills
  • Ability to manage complex travel arrangements, in keeping with overall time commitments and in support of optimizing time management
  • Completes tasks in resourceful and effective ways
  • Ability to manage internal and external confidential information with utmost discretion
  • Works autonomously within established procedures and practices
  • Ability to build and maintain strong relationships across the organization to influence and achieve objectives
  • Ability to work in a fast paced, dynamic work environment
  • Strict attention to detail
  • Ability to interact professionally with all organizational levels
