The Rotman Office of Recruitment, Admissions and Business Development (RABD) recruits and admits talented professionals who aim to push their limits, expand their creativity and develop their leadership potential via one of the School's eleven graduate management programs. The RABD team will achieve this goal using industry-standard best practices in strategic enrolment management.

As the Event Coordinator, you will serve as the primary point of contact for event-related inquiries and oversee the logistical planning and delivery of events and relatedprogramming. You will coordinate space, resources, schedules, and operational requirements across multiple program and event calendars, ensuring events are delivered effectively and seamlessly. The role will be responsible for conceptualizing, organizing, and executing event activities; identifying and resolving issues as they arise and escalating matters when appropriate; and implementing process improvements to enhance event planning and delivery. You will also contribute to the development of marketing and promotional content, compile and organize data for reporting purposes, and support a safe, positive, and inclusive environment for event participants. The Event Coordinator will also provide direction to casual staff and other event support personnel as required.

Reporting to the Associate Director, Graduate Program Recruitment you will work with colleagues across the RABD portfolio and the Rotman School to achieve the School's recruitment goals, and be a key contributor to a dynamic and strategic enrolment management-driven recruitment and admissions operation dedicated to shaping the incoming classes of transformational graduate business programs at the University of Toronto.

Your responsibilities will include:
  • Serve as the primary point of contact for event-related inquiries, providing guidance and recommendations to event organizers, clients, and stakeholders.
  • Plan, coordinate, and execute events and related programming, including logistics, space and resource requirements, vendor and service provider coordination, catering, audio-visual needs, and venue setup and teardown.
  • Coordinate event calendars, timelines, bookings, contracts, and operational requirements, ensuring activities comply with University policies, procedures, standards, and risk-management requirements.
  • Build and maintain effective relationships with internal and external stakeholders, partners, service providers, and event organizers; identify and resolve issues and oversee casual staff and volunteers during events.
  • Develop, edit, and disseminate event, marketing, promotional, and outreach content across digital, social media, and other communication channels, ensuring information is accurate, timely, and aligned with established standards.
  • Coordinate participant communications and feedback activities, including maintaining contact lists and digital records, administering surveys, and analyzing engagement and feedback to support improvements.
  • Collect, organize, and analyze event and program data, including attendance and survey results; maintain accurate records and databases and prepare routine and ad hoc reports and summaries.
  • Support administrative and operational activities across recruitment, admissions, and marketing, including preparing service contracts and invoices, conducting post-event evaluations, and identifying and implementing process improvements.


Essential Qualifications:
  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three years of work experience, preferably in events management or a related area within a graduate business program environment.
  • Demonstrated experience coordinating events for a wide range of audiences, including logistical planning, venue relationship management, partnership collaboration, scheduling oversight, and promotional activities.
  • Experience with CRM systems in a recruitment setting strongly preferred.
  • Knowledgeable on issues and trends in graduate business education.
  • Strong communication skills (both written and verbal).
  • Solid interpersonal, intercultural, and customer service skills, including the ability to deal with sensitive and confidential matters.
  • Strong computer skills (e.g. Word, Excel, SharePoint, PowerPoint).
