Position Overview

We're seeking a Customer Operations Manager to own the path from "customer says yes" to "delivered and paid." This is a full-time bridge role sitting between production operations, go-to-market, and engineering, and serving as the operational counterpart to our customers' procurement, supply chain, and AP organizations. It is a high-ownership, high-trust job with a lot of surface area, based at our Lake Oswego headquarters.

What You'll Do
  • Own customer onboarding and vendor setup - run the customer's internal onboarding process on our behalf and get Rapta approved in their procurement and accounting systems (Ivalua, SAP Ariba, Coupa, and similar).
  • Assemble and submit document packages (W-9, COIs, banking forms, supplier quality questionnaires) and own responses to customer security and compliance reviews, including CMMC, NIST 800-171, and ITAR requests.
  • Shepherd MSAs, SLAs, NDAs, and supplier agreements from first redline to signature.
  • Enter accepted orders into our MRP system, open work orders, schedule builds against realistic capacity, and drive materials procurement and expediting.
  • Coordinate fulfillment end to end - assembly readiness, crating, outbound freight and onsite training with our solutions engineering team.
  • Own invoicing and accounts receivable.
  • Serve as the first point of contact for inbound customer questions, tracking issues to closure, and run the operating cadence that keeps sales, production, and engineering aligned on the order book.

What We're Looking For
  • 6+ years in order management, customer operations, contracts administration, program administration, or supply chain at a manufacturing, hardware, or industrial technology company
  • Demonstrated experience supporting large enterprise customers with formal procurement processes, and comfort navigating vendor portals and AP systems
  • Working literacy in commercial contracts - you can read an MSA and know which clauses matter
  • Exceptional organization and follow-through; this role holds dozens of open threads simultaneously and nothing can drop
  • Clear, professional written communication with sophisticated customers
  • US Citizen

Required Technical Skills
  • Hands-on MRP experience (NetSuite, Epicor, MRPeasy, SAP, or equivalent) - you've entered orders, opened work orders, and pulled reports yourself
  • Proficiency with customer procurement and AP portals (Ivalua, SAP Ariba, Coupa, and similar), including invoice submission and approval workflows
  • Familiarity with FAR/DFARS flow-downs, ITAR, export controls, and CMMC/NIST 800-171 compliance documentation
  • Purchasing and materials planning fundamentals - BOM review, supplier POs, lead-time tracking, and expediting
  • Working knowledge of shipping, crating, and export documentation
  • Strong agentic usage in spreadsheets and reporting skills for order status, backlog, and other reports
