Experiences Coordinator, Sports and Experiential Marketing

  

Location: This is a hybrid role, with an onsite presence of 3 days per week at New York, NY or Bethesda, MD office. 

Reports To: Manager, Sports and Experiential Marketing 

We’re seeking a creative, organized, and culturally attuned Experiences Coordinator to help build the hospitality practice within GEICO Marketing. This is an opportunity to shape how GEICO shows through experiences, blending creative thinking, project management, and collaboration to deliver high-impact moments. You’ll operate with a roll-up-your-sleeves mindset in a fast-paced, build environment, supporting both planning and on-the-ground execution. As part of the Sports and Experiential Marketing team, you’ll help deliver experiences for executive guests, associates, partners, and internal stakeholders, ensuring seamless coordination across logistics, communications, and event operations. This role offers the chance to build something new inside a scaled organization. You’ll gain hands-on exposure to live events and high-visibility moments, while contributing to defining how GEICO connects with audiences through experiences 

 

About the job 

Position Summary 

The Experiences Coordinator on the GEICO Sports and Experiential Marketing team supports the planning and execution of brand experiences that engage key audiences and reflect team priorities. This role helps coordinate logistics, communications, and on-site execution for executive guests, associates, business partners, and internal stakeholders, while maintaining organized processes and high-quality experience. 

Key Responsibilities 

Executive Experiences 

  • Support planning for executive guest experiences based on established team priorities and event objectives 

  • Assist with hosted experience details, including agendas, run-of-show materials, and guest support 

  • Coordinate invitations, approvals, and required event documentation in partnership with internal stakeholders 

  • Coordinate logistics with functional partners such as security, transportation, and administrative support teams 

  • Track post-event notes, follow-up items, and feedback to support team reporting and next steps 

Associate Engagement 

  • Support recognition and engagement experiences that help create positive associate moments 

  • Assist with nomination tracking, participant lists, and process coordination using established program guidelines 

  • Help execute repeatable event playbooks for local and national associate programs 

  • Partner with HR and Communications teams to support event messaging, materials, and internal awareness 

  • Help collect participation data and feedback to support post-event recaps and future improvements 

Enterprise Experience Support 

  • Support intake tracking for hospitality requests and help maintain organized request records 

  • Help maintain hospitality calendars, budget trackers, and planning documents for team use 

  • Coordinate with vendors, venues, and internal partners to support event setup and execution 

  • Help maintain brand standards and consistent event details across experiences 

  • Assist with preparing recap materials and tracking utilization and cost information for the team 

Partner Experiences 

  • Support GEICO insurance agent-facing experience programs by helping coordinate logistics and participant communications 

  • Assist with experience programming such as educational sessions, access opportunities, and networking support 

  • Help coordinate program communications, participant tracking, and fulfillment details 

  • Maintain qualification tracking and support coordination with operations partners using established guidelines 

  • Help compile participation data, feedback, and key takeaways for team reporting 

Ticket and Hospitality Coordination 

  • Maintain ticket and hospitality inventory records and help keep distribution details up to date 

  • Coordinate ticket allocations, approvals, and deadlines based on established team guidelines 

  • Help manage waitlists, reallocation updates, and last-minute distribution changes as needed 

  • Maintain organized records of recipients, business purpose, and related distribution details as needed 

  • Assist with tracking utilization and preparing summary information for the team 

Qualifications 

  • Bachelor’s degree in marketing, communications, hospitality, event management, business, or a related field, or equivalent relevant experience

Annual Salary

$73,800.00 - $115,825.00

The above annual salary range is a general guideline. Multiple factors are taken into consideration to arrive at the final hourly rate/ annual salary to be offered to the selected candidate. Factors include, but are not limited to, the scope and responsibilities of the role, the selected candidate’s work experience, education and training, the work location as well as market and business considerations.
