Full Job Description
About the Role

This role owns the day-to-day finance, HR, compliance, and vendor management functions that keep the company running, and is the primary administrative support layer for the Object PMO and the Director of Business Operations.

This is an expanded role with a broadened scope: the Business Operations Manager moves beyond pure finance and accounting to take on meaningful operational ownership across HR compliance, vendor management, and systems. It's a hands-on, detail-oriented seat for someone who thrives on building reliable processes and closing gaps before they become problems.

Reports to the Director of Business Operations.

Key Responsibilities

Finance & Accounting

  • AP/AR execution including vendor payments, client invoicing, and collections follow-through
  • Weekly cash flow tracking and reporting inputs for the Director's ownership reporting
  • Monthly close support in coordination with the external accountant or CPA
  • Expense reconciliation and corporate card administration across all cardholders

HR & Compliance
  • Onboarding and offboarding administration including I-9 compliance and ADP/PEO coordination
  • Payroll processing and timekeeping accuracy, including California daily overtime and applicable federal requirements
  • Benefits enrollment support and routine employee inquiries through the PEO
  • Policy documentation and distribution: progressive discipline, drug and alcohol policy, leave administration
  • First-line HR coordination; escalations route to the Director and PEO HRBP as appropriate

Vendor & Procurement
  • Vendor onboarding, W-9 collection, and payment terms management
  • Purchase order workflow administration
  • Subcontractor compliance documentation: COIs, agreements, and lien waiver tracking
  • Ongoing vendor relationship maintenance and cost-reduction identification

PMO Administrative Support
  • Maintain project tracking systems and job costing data in coordination with the PMO team
  • Support PMs with budget reporting, purchase request processing, and documentation standards
  • Flag project financial variances to the Director for review
  • Help enforce PMO process standards set by the Director

Systems & Process
  • Day-to-day administration of the company's operational toolstack: QuickBooks Online, project management platforms, HR/payroll systems, and expense management
  • SOP documentation and maintenance for finance, HR, and operations functions
  • Identify workflow gaps and surface recommendations to the Director

What You Bring
  • Three to five years in a finance operations, office management, or business operations role with real execution ownership
  • Experience in fabrication, production, live events, construction, or a related physical trades environment preferred
  • Fluency with QuickBooks Online or comparable accounting software
  • Working knowledge of California employment law, including daily overtime requirements and leave compliance
  • Strong organizational instincts and a low tolerance for loose ends
  • Comfortable operating with a degree of autonomy while escalating appropriately to the Director
