Billing Supervisor

Position Type:

Hybrid Flexible (work in the office for 1 - 3 days, as needed, on a flexible schedule.)

Schedule: Monday - Friday, 8:00 AM PST - 5:00 PM PST

Residency Requirements:

Washington D.C.: For all positions based in the Washington, D.C. office, residency within Washington D.C., Maryland or Virginia and within a reasonable commutable distance to the assigned office is required depending on the firm's discretion and the nature of the role.

Los Angeles and San Francisco Offices: For all positions based in the Los Angeles and San Francisco offices, residency within the state of California and within a reasonable commutable distance to the assigned office is required depending on the firm's discretion and the nature of the role.

Salary Range: $55.67/hour - $62.00/hour ($115,800.00 - $128,960.00 annually) *

The Billing Supervisor is responsible for supervising a team of Billing Specialists and performing routine and advanced billing functions, inclusive of review and maintenance of client bills, compliance with client billing requirements, and electronic billing. The Billing Supervisor oversees the billing and electronic billing workflows of their team, and ensure that special billing arrangements are carried out. They assist in the maintenance of electronic billing platforms and filing systems. The Billing Supervisor is responsible for handling the billing and eBilling duties for an assigned workload. The Billing Supervisor serves as the back-up to the Billing Specialists on their team, working closely with them to address any issues with billing/electronic billing invoices, and performing scheduled and ad hoc reporting. The Billing Supervisor acts as a subject matter expert and coach for their team.

Job Functions & Responsibilities
  • Oversee assigned staff including conducting performance management and training.
  • Oversee the billing process and assign workload responsibilities for each member of the assigned team to ensure that bills are accurate and sent out on time.
  • Coordinate the set-up, implementation, updates, and maintenance of electronic billing processes as required by clients, including communicating with attorneys, secretaries and the Billing team from initiation through completion of the monthly billing cycle.
  • Handle client set up, ensure timely billing submissions, resolution of eBilling rejections, preparation of billing reports and other related responsibilities.
  • Maintenance of database to ensure accurate billing information.
  • Communicate with attorneys, secretaries, Billing Specialists, management and client contacts to resolve billing issues.
  • Assist in the managing and allocating of Billing staff resources to ensure that internal and external inquiries and requests are responded to accurately and on time.
  • Maintenance of client billing guidelines and communicating client requirements to attorneys, secretaries, Billing Specialists and legal staff.
  • Recommend policies and procedures to ensure consistency and standardization of billing processes.
  • Coordinate and/or provide billing system and procedural training as needed.
  • Assist with month-end close, including running monthly proformas, billing attorney reports, data warehouses and other reports as requested.
  • Special projects as assigned by attorneys and/or managers.

Minimum Job Qualifications
  • High school diploma required. Bachelor's degree in Business, Finance, Accounting, or related field preferred.
  • Minimum five (5) years of relevant (analytical, billing, and accounting) experience in a law firm environment, and two (2) years of experience supervising a staff with ability to successfully lead teams.
  • Experience with Elite 3E Enterprise and eBillingHub.
  • Experience with a variety of eBilling systems such as Collaborati, Serengeti, DataCert (ShareDoc), and CounselLink.
  • Advanced knowledge of MS Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Intermediate project management skills.
  • Advanced ability to understand overall billing guidelines or protocols provided by clients and necessary steps to implement them.
  • Strong verbal and written communication skills to resolve all issues effectively by working with all levels within the firm and 1st level client contacts.
  • Excellent attention to detail.
  • Excellent organizational skills and ability problem solve.
  • Ability to understand and recommend improvements to existing processes and procedures.
