Summary
The successful candidate will lead the end-to-end bid and proposal process across North American
Retirement and Benefit Solutions (RBS) in an efficient and repeatable manner. By combining strategic bid
governance with high-quality content development, this role will enable the Sales and Customer Success
teams to increase the volume and quality of client/prospect growth engagements. The objective is to drive
a higher win rate for net new, expansion, and renewal opportunities in Consulting and Administration
Solutions through the implementation of win-strategies, the optimization of proposal quality, and the
leadership of cross-functional response teams.
Role Description:
The Sr. Proposal & Sales Bid Manager is responsible for the strategic oversight and end-to-end lifecycle of the bid process, often managing multiple high-value opportunity workstreams in parallel. This role is responsible for the governance of the bid process (from qualification to contract signing), ensuring strict adherence to timelines and compliance guidelines.
This role will not only manage the execution of bids but will also define and maintain proposal and bid management best practices and pioneer process improvement initiatives. This role requires a blend of project management expertise and advanced writing skills to develop solutions-based proposals that effectively communicate the company's value proposition.
Responsibilities:
• Project manage the end-to-end bid process, setting realistic timelines and leading virtual bid teams to ensure the on-time submission of compliant and compelling bids.
• Partner with Sales Leads to develop clear and compelling win strategies, ensuring these themes are woven throughout all proposal content and meeting materials.
• Assemble and lead project management teams for key bids, coordinating work between key stakeholders including Sales, Leadership, Marketing, Finance, Legal, IT/Security, Implementation, etc.
• Lead the creation and editing of persuasive, solutions-based proposal content in response to RFx and questionnaires, ensuring complex information is communicated effectively.
• Review and proofread all proposals for accuracy, grammar, and formatting, ensuring all submissions align with company branding guidelines and client requirements.
• Define, execute, and maintain bid management best practices. Identify and pioneer process improvement initiatives to increase efficiency and quality.
• Develop and maintain a comprehensive library of proposal templates and boilerplate content for organizational reuse.
• Ensure pricing is complete and approved by appropriate Leadership and Bid Governance.
• Identify and resolve issues or risks encountered throughout the bid process.
• Coordinate team materials for all follow-ups, presentations, best and final offers (BAFO), and contracting as required.
• Drive continuous improvement by gathering and sharing feedback from post-bid reviews and identifying emerging market trends.
• Assist with special projects (including leading and communication of change management efforts) across Sales Operations, as assigned
Qualifications/Skills:
• Bilingual proficiency in English and French (written and spoken)
• Bachelor’s degree in Writing/Creative Writing, Communications, Marketing, Business Administration, or related field is preferred
• 8+ years of experience in Bid Management Proposal Writing, ideally within the Benefits Administration, Pension, Health & Welfare, and/or Consulting industry
• Demonstrated ability to be a leader and change agent, with the capacity to manage risk, negotiate, and manage conflict
• Excellent written and spoken communication skills, with the ability to translate complex technical requirements into persuasive business content (in both English and French)
• Demonstrated ability to manage multiple complex projects to successful completion under tight and concurrent deadlines
• Strong research and analytical skills
• Proficiency in Microsoft Office suite, Google Workspace, and proposal management/content management software
• Strong attention to detail paired with research and analytical skills, creative and innovative thinking, and the ability to build influential relationships across the organization
Intermediate knowledge of English is required because you will on a regular basis interact in English with external parties (clients, suppliers, candidates, external partners, etc.); interact in English with internal parties (colleagues, internal partners, stakeholders, etc.); and work with IT tools whose interface is only accessible in English as part of this position's main responsibilities given its international scope.
