Summary
King County Metro's Safety, Security, and Quality Assurance (SSQA) Division is seeking a self-motivated, detail-oriented, and highly organized individual with sound judgment, a keen eye for accuracy, and strong professional integrity to join our team as an Administrator I. This position will provide complex and critical administrative support for the division and will primarily support the Transit Safety Manager and Transit Security Manager, while working closely with the SSQA Executive Assistant to meet the evolving administrative needs of the division and its employees.
Our ideal candidate will bring a strategic approach to managing details, deliverables, and competing deadlines-particularly in support of leadership and their dynamic calendars and agendas. They will also possess exceptional professional writing skills, with the ability to draft, proofread, edit, and summarize information that may be sensitive, technical, or complex in nature. This position will report to the Executive Assistant within the SSQA Division.
This recruitment will be used to fill one (1) Career Service position and is open to all qualified candidates.
In addition, this recruitment's selection process may be used to generate an eligibility pool for future Career Service positions that may occur in this classification. The eligibility pool will be retained for 12 months from the date of posting and may be used at the discretion of the hiring authority.

Job Duties

Applying is a daily responsibility and a foundational expectation for all King County employees. In this role, you will apply equity and social justice principles that exemplify shared values, behaviors, and practices to all aspects of the work. As the Administrator I, you will:
  • Provide complex and critical administrative support, serving as the primary administrative support to the Transit Safety and Transit Security Managers including acting as delegated authority to independently handle day-to-day administrative support duties on their behalf.
  • Manage complex calendars, organize and support various meetings and events including preparing materials and agendas and taking notes while assisting with tracking and follow-up as needed.
  • Prepare, format, review, and edit formal and informal communication, standard operating procedures, policies, and documentation on behalf and in support of managers or workgroup.
  • Track project deadlines and meetings; coordinate with internal staff and external partners, and compile supporting documentation to ensure managers preparedness.
  • Maintain confidentiality by applying policies and procedures, while earning the trust and respect of co-workers through honesty, integrity, and professionalism in all interactions.
  • Use independent judgment to screen telephone calls, emails, meeting requests, and visitors to provide exceptional customer service.
  • Prepare, review, and track forms required for personnel transactions, grievances, requisition forms, purchase orders, partner agency agreements and reports, and expense reports.
  • Collaborate with the SSQA Administrative Services team to develop, implement, and maintain the section-wide processes that support key administrative functions such as legislation, onboarding, record retention, signature routing, correspondence, interagency agreements, invoices, and training plans.
  • Provide backup support for payroll and accounts payable functions, including project-based budget coding, tracking, and reconciliation in Oracle.
  • Coordinate travel and training for managers and staff.
  • Maintain and update data and materials related to division functions by utilizing MS Word, Outlook, Teams, SharePoint, PowerPoint, Excel, Visio and specialized database systems (i.e. Oracle EBS, Peoplesoft, or similar such software).
  • Order and track office supplies and maintain inventory; coordinate service and repairs for office equipment as needed, including contractor coordination when needed for repairs or replacement.
  • Manage and track KCIT onboarding and offboarding requests for new hires and staff transfers.
  • Serve as a liaison between the managers and internal employees and external partners or individuals and offer guidance and direction on King County, Metro Transit Department, and SSQA Division administrative protocols, resources, and personnel.
  • Perform other special projects and related duties as assigned.

Driver's Abstract Review: Applicants must possess a valid driver's license with acceptable five-year driving record (to be verified via a Driver's Abstract review prior to employment). Any of the following violations in the last five years will automatically disqualify candidates under consideration:

Position Details: This position is non-exempt from the provisions of the Fair Labor Standards Act and is therefore overtime eligible. Employees are paid on a bi-weekly schedule, every other Thursday.

Work Schedule Details: The work week is 40 hours, Monday - Friday with typical hours between 8:00 am - 5:00 pm.

Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
