General

The Administrative Support Specialist reports to the Manager, Bus Maintenance and provides clerical and administrative support for the San Mateo County Transit District (SamTrans).
Essential Functions & Duties

  • Provide clerical, administrative, and data entry support.
  • Collect, review, and analyze data; prepare reports, charts, budgets and other presentation materials, take meeting minutes, and prepare written reports.
  • Schedule, coordinate, and maintain calendar appointments and department meetings.
  • Coordinate office and/or departmental operations.

Examples of Essential Duties:
  • Type memos, letters, and other correspondence.
  • Answer telephones, take and distributes messages.
  • Sort and distributes mail.
  • Make copies; send, receive and distribute faxes
  • Maintain bulletin boards.
  • Maintain and update files, and records.
  • Perform all job duties and responsibilities in a safe manner to protect one's self, fellow employees and the public from injury or harm. Promote safety awareness and
  • follow safety procedures in an effort to reduce or eliminate accidents.
  • Collect and assemble statistical data and generate reports.
  • Perform other duties as assigned.

Minimum Qualifications

Sufficient experience, training and/or education to demonstrate the knowledge and ability to successfully perform the essential functions of the position. In lieu of a degree, work-related experience that demonstrates the skills and experience necessary to perform this role will be accepted. Development of the required knowledge and abilities is typically obtained through but not limited to:
  • High School Diploma or GED equivalent.
  • Three (3) years of full-time Administrative Assistant experience.
PREFERRED QUALIFICATIONS
  • Proficient in Microsoft 365 (Word, Excel, PowerPoint, OneDrive, SharePoint and Teams)
  • Communicate effectively with staff and other departments.
  • Good written and communication skills.
  • Experience with PeopleSoft or other ERP software.
