Full Job Description

We're looking for an experienced Administrative Assistant to support three Leaders across a fast-paced, high-growth team. This role requires someone who is proactive rather than reactive, anticipating needs before they're asked, spotting scheduling conflicts before they happen, and keeping projects moving without needing to be chased. You'll be a trusted operational partner who brings clarity, structure, and calm to a high volume of shifting priorities.

A successful Administrative Assistant is self-motivated, proactive, and a strong communicator who is flexible and able to make sound judgment calls in order to move quickly. This role requires a strong emphasis on organization, unwavering attention to detail, and a demonstrated ability to problem-solve. Because this is a fast-paced, high-volume environment, you must be comfortable managing shifting priorities, staying organized under pressure, and maintaining a high level of accuracy and professionalism. Individuals who learn quickly and inherently exercise good judgment tend to be most successful both in this role and at Netflix.

What You'll Do

  • Calendar & Coordination: Maintain complex, high-volume calendars for three Leaders, proactively resolving conflicts, prioritizing competing requests, and coordinating meetings across multiple time zones.

  • Communication: Serve as a key point of contact for the team, communicating clearly and proactively with internal partners, cross-functional teams, and external stakeholders. Anticipate questions and get ahead of issues before they escalate.

  • Meeting Management: Manage a large volume of internal meetings, team meetings, cross-functional syncs, and all-hands. Including scheduling, soliciting agenda items, note taking, time management, and tracking action items to closure.

  • Offsite & Event Planning: Plan and execute team offsites, events, and external meetings end-to-end, including venue and vendor sourcing, contract logistics, agenda coordination, presentation/AV support, and on-site execution.

  • Travel & Expenses: Coordinate complex domestic and international travel arrangements and prepare/process corresponding expense reports.

  • Digital Organization: Maintain Google Shared Drives, distribution lists, Google Groups, and Slack channels, ensuring the right people have access and the right information is easy to find.

  • Confidentiality: Maintain the highest level of discretion with sensitive information, organizational changes, and leadership discussions.

  • Cross-Functional Liaison: Partner with HR, Recruiting, Finance, and Facilities on administrative protocols, org changes, and operational needs, flagging inconsistencies to leadership proactively.

  • Process Improvement: Continuously identify and implement workflow efficiencies to help the team scale and operate more smoothly.

  • Team Culture: Support team-building activities and contribute to a welcoming, collaborative team environment.

What You'll Need

  • Experience as an administrative or executive assistant supporting multiple leaders within a large, fast-paced, and/or rapidly scaling organization.

  • A demonstrated track record of being proactive rather than reactive (someone who anticipates needs, flags issues early, and follows through without prompting).

  • Hands-on offsite and event planning experience, including venue/vendor sourcing, budget coordination, agenda planning, and on-site logistics.

  • Excellent written and verbal communication skills, with the ability to communicate clearly and confidently across all levels of the organization.

  • Strong organizational skills and impeccable attention to detail, with the ability to manage competing priorities under pressure.

  • Proficiency in Google Suite (Drive, Docs, Sheets, Slides); familiarity with Slack.

  • Ability to maintain the highest level of discretion and confidentiality.

  • Comfortable working on-site/hybrid, with flexibility to work across multiple time zones as needed.
