I. JOB OVERVIEW

Job Description Summary:

The Administrative Manager and Strategic Initiatives serves as the senior administrative leader for the Department of Global Health and is the principal operational partner to the Department Chair. The Administrative Manager provides leadership and oversight of departmental administration, finance, human resources, academic operations, strategic planning, and special initiatives. Working closely with faculty, staff, students, school leadership, and university partners, the Administrative Manager develops and implements systems and processes that advance the department's academic, research, service, and global engagement missions.

The Administrative Manager oversees the coordination and performance of shared-services functions that support the department's educational, financial, and administrative operations. The position ensures effective delivery of services related to academic programs, practicum experiences, student support, budgeting, and office management while aligning these functions with departmental priorities and strategic goals.

The Administrative Manager is responsible for ensuring the effective day-to-day operation of the department while also leading strategic initiatives that support departmental growth, innovation, and long-term sustainability. As a member of the department's leadership team, the Administrative Manager plays a key role in advancing the department's strategic vision and fostering a culture of excellence, collaboration, and accountability.

Essential Duties and Responsibilities

Strategic Planning and Departmental Initiatives
  • Partner with the Department Chair to develop, implement, and monitor departmental strategic priorities and annual operating plans.
  • Lead special projects and strategic initiatives that advance the department's academic, research, workforce development, and service missions.
  • Develop and maintain systems for tracking departmental performance, key metrics, and strategic objectives.
  • Conduct analyses and prepare reports, presentations, and recommendations to support departmental decision-making.
  • Coordinate implementation of new academic programs, partnerships, centers, initiatives, and organizational changes.
  • Identify opportunities for operational improvements, resource optimization, and program growth.
  • Represent the department on school-wide and university committees, task forces, and working groups as assigned.


Administrative and Operational Leadership
  • Direct and oversee the administrative operations of the Department of Global Health (a large and complex academic and research unit).
  • Develop, implement, and manage administrative policies, procedures, and workflows to enhance operational efficiency, service delivery, and organizational effectiveness.
  • Recommend and implement process improvements and operational strategies to support departmental goals and evolving business needs.
  • Provide oversight of departmental administrative functions, including budgeting support, financial monitoring, payroll coordination, timekeeping, personnel administration, and compliance with university policies and procedures.
  • Serve as the primary departmental liaison with school-wide shared-services units to ensure responsive, effective, and high-quality support for faculty, staff, and students.
  • Manage departmental office operations, including space planning and utilization, facilities coordination and maintenance, equipment management, technology resources, and administrative infrastructure. Ensure compliance with university, school, sponsor, accreditation, and regulatory requirements.
  • Manage administrative support functions for the department, including scheduling support, event and meeting logistics, visitor coordination, and operational support for departmental activities and programs.
  • Foster a culture of collaboration, service, professionalism, and accountability.


Financial Management
  • Manage or provide substantial input into departmental budgeting processes, financial planning activities, and resource utilization decisions.
  • Monitor departmental expenditures, revenues, faculty effort allocations, and financial performance to ensure responsible stewardship of departmental resources.
  • Prepare and review financial analyses, projections, and reports to support departmental leadership and operational decision-making.
  • Oversee routine financial operations and support activities, including procurement processes, P-card reconciliation, financial transactions, and financial reporting in accordance with university policies and procedures.
  • Work collaboratively with school and university finance offices to ensure sound fiscal stewardship and compliance.
  • Monitor faculty discretionary accounts, departmental operating budgets, and other departmental resources as appropriate.


Academic Programs and Student Affairs
  • Provide administrative leadership and oversight for departmental academic programs, including degree programs, certificates, executive education, and other educational offerings.
  • Coordinate operational aspects of curriculum development, academic program review, accreditation, assessment, and reporting activities.
  • Oversee and coordinate departmental support for student advising, recruitment, enrollment, retention, and student success initiatives.
  • Support planning, launch, implementation, and marketing of new academic programs and educational partnerships.


Faculty Affairs and Human Resources
  • Coordinate faculty recruitment, onboarding, appointment, promotion, tenure, annual review, and other faculty affairs processes.
  • Assist departmental leadership with faculty workload planning, resource allocation, and operational support.
  • Oversee staff or student employee recruitment, onboarding, supervision, performance management, and professional development activities.
  • Collaborate with school and university human resources offices on personnel matters and workforce planning.
  • Support implementation of faculty and staff recognition, engagement, and development initiatives.


Research Administration and External Engagement
  • Support the development, growth, and administration of departmental initiatives
  • Facilitate partnerships with domestic and international organizations, governmental agencies, academic institutions, donors, and community partners.
  • Assist with operational planning and administration related to grants, contracts, centers, institutes, and research programs.
  • Coordinate departmental events, advisory boards, seminars, strategic convenings, and external engagement activities.
  • Demonstrated experience in budgeting, personnel management, project management, and strategic planning.
  • Strong analytical, organizational, interpersonal, and communication skills.
  • Demonstrated ability to manage multiple priorities and work effectively with diverse stakeholders.

Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 6 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study plus 4 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:

Preferred Qualifications:
  • Experience in an academic health center, school of public health, medical center, or research-intensive university is desired.
  • Experience supporting academic programs, faculty affairs, accreditation, and sponsored research activities is preferred.
  • Experience supervising professional staff and coordinating matrixed or shared-services teams is a plus.
  • Familiarity with global health programs, international partnerships, and externally funded research initiatives is desired.
  • Demonstrated experience in budgeting, personnel management, project management, and strategic planning is preferred.
  • Strong analytical, organizational, interpersonal, and communication skills.
  • Demonstrated ability to manage multiple priorities and work effectively with diverse stakeholders.


Hiring Range
$65,252.91 - $113,410.06
