ROLE SUMMARY

A high-performing administrative team is essential to bringing our therapies to people all over the world and making a positive difference. In this role, you will apply your administrative skills and knowledge of organizational processes to anticipate needs, solve routine-to-complex administrative issues, and recommend practical solutions. You will collaborate closely with the BRD administrative team and cross-functional partners to keep work moving, communicate status, and support timely execution of priorities.

The Administrative Lead is a proactive and independent administrative professional contributing high-quality business results coupled with wider business process thinking, planning and input, based on advanced knowledge of the business. Has extensive knowledge and key skills within assigned line. Has thorough knowledge of the broader organization and its impact on the assigned line.

In this role, you will manage large amounts of confidential Pfizer information, exercise discretion, and use independent judgment to make sound business decisions. You possess excellent interpersonal, written and verbal communication skills; strong decision-making skills; business acumen, and the ability to think creatively. You are recognized as an advisor to senior leaders and will innovate in identifying solutions to problems by taking a broader perspective that benefits the organization.  

ROLE RESPONSIBILITIES

What You Will Achieve

In this role, you will:

  • Work collaboratively with other BRD Admins, operations personnel, people leaders, and leadership.
  • Use in-depth understanding of Pfizer’s, the division’s, or the department’s organization structure to assist in supporting BRD.
  • Independently gather information from across Pfizer from appropriate individuals to assist in solving a problem:
    • Proactively identifying or anticipating issues and using judgment to expeditiously resolve all issues including understanding the most urgent.
    • Establish strategic, on-going relationships with key individuals in and outside of Pfizer.
    • Find innovative ways to overcome significant obstacles/barriers in order to resolve own work issues (e.g., determine how to get materials to senior leaders in a remote/foreign location).
  • Schedule meetings or events for department/division, inviting appropriate internal/external individuals.
  • Create meeting agendas, schedule group and individual meetings, and issue meeting minutes for meetings and conference calls.
  • Organize documents (physical and digital), create and manage department distribution lists.
  • Support travel planning and expense reporting
  • Order and stock office supplies
  • Demonstrate expert knowledge and proficiency with
    • General office procedures such as, e-mail etiquette, commonly used office software
    • Pfizer-specific processes and procedures applicable to the line/site (e.g., PT&E, ARIBA, Digital on Demand platforms). Skilled in utilizing the following Pfizer applications and systems: Teleconference Services, SharePoint, Get Service, Get Access).
  • Provide departmental recruiting and onboarding support: engage potential candidates, schedule interviews, etc.

Partner with other site based Administrative Lead (s) to co-support BRD team. This can include activities such as catering, event planning, visitor management, supplies, digital support and colleague questions. Provide back up support for activities and cover for vacations and time away.

BASIC QUALIFICATIONS

  • High School Diploma or GED with at least 6 years of admin experience.
  • Excellent attention to detail and interpersonal skills.
  • Ability to work with confidential documents and information.
  • Strong organizational, communication and collaboration skills.
  • Ability to carry out all office functions proficiently and complete quality work on a timely basis.
  • Excellent computer skills: MS Office skills: (Outlook, Word, PowerPoint, Excel, TEAMs, SharePoint is a must)
  • Highly flexible with the ability to multi-task

 

PREFERRED QUALIFICATIONS

  • High School Diploma or GED with 10+ years of admin experience.
  • Prior experience as an Administrative Assistant supporting executive leadership in a global organization.
  • Knowledge of the pharmaceutical industry and healthcare environment.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Proactive approach to work and the ability to initiate follow-up actions.
  • Demonstrated planning and organizing skills.

Experience using common AI tools, including generative technologies such as Microsoft Copilot, to support problem solving and enhance productivity. Demonstrated curiosity for exploring how these tools can improve outcomes and understanding of responsible AI practices, including risk management and ethical use.

The salary for this position ranges from $33.11 to $55.18 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
