Job Description

This position is based in our Waltham, MA office and reports to the Vice President of Commercial Operations. The role serves as a trusted partner to the Vice President and leadership team, providing high-level administrative support, coordinating key business processes, and leading a variety of departmental projects and initiatives.

Operating within Alkermes' hybrid work environment, this position requires 60% on-site presence and 40% remote work.

The ideal candidate is highly organized, proactive, detail-oriented, and able to manage multiple priorities while exercising sound judgment and discretion in a fast-paced environment.

Responsibilities

Responsibilities include, but are not limited to:
  • Serve as a primary administrative resource for the Commercial Operations leadership team, anticipating needs and ensuring efficient day-to-day operations.
  • Support contract administration by routing agreements, tracking approvals, and maintaining documentation.
  • Manage complex calendars for senior leaders, prioritizing schedules and proactively resolving conflicts.
  • Partner closely with other administrative professionals and executive assistants to coordinate senior leadership meetings, align schedules, and support seamless planning.
  • Provide meeting logistics support, including scheduling, catering, audiovisual coordination, room setup, and meeting materials.
  • Coordinate onboarding activities for new field-based employees.
  • Prepare, submit, and reconcile expense reports.
  • Coordinate travel in accordance with company policies.
  • Plan and coordinate internal meetings, off-site events, and regional conferences in partnership with Corporate Meetings and cross-functional teams.
  • Prepare and distribute agendas, presentations, correspondence, reports, and other business documents.
  • Maintain departmental records, organizational charts, and shared resources.
  • Support departmental projects and special initiatives as needed.


Qualifications

Basic Qualifications: Education & Experience Requirements:
  • Associate's degree required; bachelor's degree preferred.
  • 7+ years of executive administrative experience supporting senior leaders, preferably in a corporate environment.

Preferred Qualifications: Knowledge & Skills:
  • Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Proven experience managing calendars, travel, meetings, and administrative operations.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong attention to detail, accuracy, and follow-through.
  • Demonstrated ability to exercise sound judgment and maintain confidentiality.
  • Customer-focused with a proactive, solutions-oriented approach.
  • Ability to build effective relationships across all levels of the organization.
  • Experience with contract administration, expense management, and document management systems is preferred.
  • Comfortable learning new technologies and business systems.


The annual base salary for this position ranges from $85,000 to $100,000. In addition, this position is eligible for an annual performance pay bonus. Alkermes has recently adopted a hybrid working environment to support and meet the needs of employees and this role will operate in a flexible environment with 60% of time in the office and 40% from home. This position is eligible for the hybrid workplace model, requiring work to be completed onsite at our Waltham, MA office at least 3 days per week. This role is not eligible for fully remote work.
