Full Job Description
The Opportunity

The Chang School is looking for an Administrative Coordinator to provide administrative and project coordination support to the Manager, External Relations and Outreach and the Director of Administration to ensure the efficient day-to-day operation of The Chang School and the Dean's Office. They will:
  • Provide support to administrative functions in the areas of facilities administration, development, awards and bursaries, space and equipment administration, and customer service.
  • Provide project coordination and reporting support for School-wide initiatives, including activities related to implementation and monitoring of the School's Academic Plan, to support the delivery of high-quality and relevant education in all program and service areas.
The successful candidates will work in a hybrid work environment (combining in-person/on-campus and remote work).

Responsibilities include:
  • Coordinates and administers the logistical and procedural requirements for the management of Chang School facilities by acting as the primary point of contact for building-related issues such as tracking, documenting and communicating facilities deficiencies and service requests
  • Provides administrative support to the Manager, External Relations and Outreach and to the Awards Selection Committee on The Chang School's merit-based awards and bursaries.
  • Receives, reviews, and processes student applications to confirm eligibility against established criteria and prepares and distributes award-related communications, documentation, and materials (e.g., emails, results notifications, phone calls, etc.), and coordinates the disbursement of funds for approved student recipients.
  • Supports the administration, implementation and maintenance of the University Hoteling Software in collaboration with the Director of Administration, including reviewing and confirming room booking requests for The Chang School management and conference spaces in accordance with established protocols.
  • Arranges and coordinates tours of The Chang School's building for newly onboarded staff within the Dean's Office, including Dean's direct reports, as requested.
  • Provides project coordination support for activities related to the implementation of the School's Academic Plan, including coordinating committees and working groups meetings and preparing meeting records.
  • Provides back up general and confidential administrative support to other Administrative Coordinator roles within Business Operations and Programs supporting the Dean's Office, in relation to employment and staffing activities, including assisting with the coordination of recruitment processes (e.g., scheduling interviews, preparing and tracking offer documentation, and supporting onboarding and offboarding activities), as required.
Qualifications
  • Successful completion of a relevant post-secondary degree in business administration or related field is required;
  • A minimum of three (3) years of relevant administrative experience, including experience using a variety of hoteling or space-management systems and softwares
  • Strong organizational, analytical and administrative skills;\
  • Ability to work effectively in a fast-paced work environment with multiple, competing priorities and frequent interruptions;
  • Demonstrated ability to support project coordination and tracking activities, including organizing tasks, monitoring timelines, and maintaining project documentation using basic project-management tools;
  • Proficiency in preparing reports, summaries, and presentations using Microsoft Excel / Google Sheets, Microsoft PowerPoint / Google Slides, and Microsoft Word / Google Docs;
  • Demonstrated ability to handle confidential and sensitive information with discretion;
  • Strong written and verbal communication and problem solving skills;
  • Ability to work independently and collaboratively in a team environment, with flexibility to adapt to changing priorities.
