Full Job Description
As the Administrative Assistant for the Business & Engineering Services business unit, you will provide administrative support to the entire business unit, as well as the Director's Office. Primary duties include: - Provide administrative support to the Director, Executive Advisor, and Managers as needed, including calendar management, scheduling meetings, making travel arrangements, and formatting documents and presentations. - Coordinate facilities both internal and external to the organization for the Director and Managers for presentations. - Maintain and order required supplies including office supplies, safety equipment, and printer equipment. - Collaborate with Information Technology (IT) for network access, shared drive, and folder access by creating and tracking remedy tickets. - Assist and coordinate in organizing team events, training sessions, and webinars. - Process and distribute incoming mail. - Participate in corporate projects as required. - Taking meeting minutes at Divisional meetings. Qualifications - A High School diploma or equivalency (e.g. G.E.D.) and at least 5 years of related experience. - Intermediate proficiency in Microsoft Office (Word, Excel PowerPoint and Outlook). - Demonstrated organizational skills, accuracy, a high attention to detail and adaptability to changing priorities. - Strong communication and problem solving skills, along with the ability to effectively contribute and work in a team environment. - Records Management experience would be considered an asset.
