The Administrative Analyst supports effective District operations by strengthening Position Control, data accuracy, reporting, and process continuity. The role helps ensure staffing and position information is reliable and accessible so District resources can be aligned appropriately to schools, programs, and services that support students. The position also supports data visualization, process improvement, and web-based resources that improve transparency and access to information for District staff.
Essential Duties

As the
Administrative Analyst (1822) for Position Control, you will:
- Provides cross-trained analytical support for designated Position Control functions, including position-related research, data review, reporting, and reconciliation during absences, peak workload periods, and transitions.
- Reviews and analyzes position requests, position changes, closures, vacancies, FTE, employee assignment alignment, funding information, and related records for accuracy and completeness.
- Performs recurring data reconciliations and quality-control reviews across Position Control and related Human Resources, Budget, and Payroll data.
- Researches position and staffing discrepancies, identifies root causes, evaluates potential solutions, and develops recommendations in coordination with appropriate departments to resolve exceptions and data inconsistencies.
- Conducts analyses related to staffing, position utilization, vacancies, FTE, funding alignment, and other workforce or Position Control priorities, in order to identify trends, evaluate operational impacts, and develop findings and recommendations for management consideration.
- Develops and maintains reports, dashboards, charts, and other data visualizations that communicate Position Control information and trends to management and operational stakeholders.
- Develops standardized procedures, process maps, checklists, data definitions, tracking tools, and other documentation to strengthen internal controls and operational consistency.
- Identifies opportunities to improve Position Control workflows, reduce manual processes and duplicate tracking, and clarify roles and responsibilities across departments.
- Maintains and updates website content and digital resources, including procedures, forms, calendars, frequently asked questions, reference materials, and contact information.
- Coordinates with subject-matter experts to ensure website content and other published resources remain accurate, current, accessible, and consistent with District practices.
- Develops training materials and job aids and supports cross-training and knowledge transfer for Position Control processes and systems.
- Collaborates with Human Resources, Budget, Payroll, Information Technology, and other District departments on position-related data, reporting, process improvement, and special projects.
- Maintains documentation of data sources, business rules, reporting definitions, reconciliation processes, and recurring reporting schedules.
- Supports special projects and management requests requiring research, data analysis, report development, documentation, or coordination across functional areas.
- Performs other related analytical and administrative duties in support of the Position Control modernization and continuity project.
- Performs other related duties as assigned

- Strong computer skills including Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and GSuite (Google Docs, Slides, Sheets, Forms)
Minimum Qualifications
Education & ExperiencePossession of a baccalaureate degree from an accredited college or university, and one (1) year full-time equivalent experience performing professional-level analytical work. Qualifying professional-level analytical work includes analysis, development, administration, and reporting in major programs and functions of an organization in areas such as budgets, contracts, grants, policy, or other functional areas related to the duties of positions in the 182X Class series.
SubstitutionPossession of a graduate degree (Master's degree or higher) from an accredited college or university with major coursework in specialized subject matter areas such as public or business administration, management, business law, contract law, public policy, urban studies, economics, statistical analysis, finance, accounting or other fields of study closely related to the essential functions of positions in the Class series may be substituted for the required one (1) year of experience.
Additional experience as described above may be substituted for the required degree on a year-for-year basis (up to a maximum of 2 years). Thirty (30) semester units or forty-five (45) quarter units equal one year.
