Working within the Seniors Services and Long-Term Care Home's Revenue & Trust and Contract Administration and Procurement Support Departments, the Accounting Assistant 3 will be a part of a team of professionals responsible for performing a variety of accounting duties related to accounts receivable, accounts payable, contract accounting, complement management, reconciling ledger accounts, and ensuring vendor payments are in compliance with established corporate policies and processes.

Major Responsibilities:
  • Prepares financial statements and statistical data reports pertaining to various departmental capital and current projects.
  • Reviews, analyzes and reconciles encumbrances, budget variance reports and cost detail records related to departmental capital and current projects.
  • Prepares and calculates subsidy claims and ad hoc financial and statistical reports to the Provincial and Federal Government.
  • Performs and maintains accounts receivable functions including bank deposits and reconciliation, preparing, reviewing, posting, and reconciling journal entries.
  • Performs calculations in order to process period end accruals for various expenditures.
  • Prepares working papers and processes period end and year-end closing entries.
  • Reviews General ledger expenditures and revenue accounts, processes reclassification and reallocation adjustments, and reconciles expenditures.
  • Prepares statements for reporting to Management and Divisions.
  • Analyzes monthly budget variances and provides financial analysis, and other financial data to divisions.
  • Verifies and processes purchasing and accounts payable transactions.
  • Reviews supplier statements to clear outstanding charges.
  • Prepares customer invoices and periodic accounts receivable reports, including aging reports and variance analyses.
  • Verifies and enters payroll data in both SAP and TES and follows up on any payroll related enquiries.
  • Investigates, analyses, and takes corrective action on erroneous accounting transactions
  • Creates/executes ad hoc financial system reports for analysis purposes.
  • Liaises with Finance Department for processing vouchers, retrieving documents and dealing with other accounting related issues.
  • Provides work direction, training, advice, and guidance to other accounting staff.
  • Assists on special projects and assignments.
  • Monitors relevant Provincial statutes and regulations, City by-laws, and/or Council direction for any changes.


Key Qualifications:

Your application must describe your qualifications as they relate to:
  1. Post-secondary degree or diploma in Accounting, Finance or Business Administration or the approved equivalent combination of education and/or experience.
  2. Experience in the analyzing financial data, investigation and processes relating to accounts payable and/or receivable, preparing financial reports using Microsoft Office Word and Excel (pivot tables, graphical charts, and formulas).
  3. Considerable accounting experience, including financial and internal control applied in an operating environment.
  4. Experience in using a financial information system, such as SAP or an equivalent computerized accounting system.


You must also have:
  • Knowledge of municipal or public sector accounting and purchasing procedures, corporate financial control, and Federal and Provincial legislation relevant to the position.
  • Proficiency with SAP Ariba Buying and Invoicing (or similar eProcurement systems).
  • Experience with Purchasing Card (PCard) administration, reconciliation, and compliance with corporate policies.
  • Experience with vendor statement reconciliation to ensure accuracy of accounts and timely resolution of discrepancies.Strong problem solving, research and analytical skills.
  • Strong interpersonal and communication skills with the ability to establish and maintain effective working relationships with all levels of staff and the public.
  • Knowledge of financial and internal controls.
  • Ability to take initiative and work independently as well as cooperatively as a member of a team.
  • Ability to plan, organize and manage work with minimal supervision and complete of several tasks simultaneously for multiple management staff within tight deadlines.
  • Ability to support the Toronto Public Service values to ensure a culture that champions equity, diversity, and respectful workplaces.


As a condition of employment with the Seniors Services & Long-Term Care Division, selected candidates will be required to provide a satisfactory Police Reference Check (PRC) with vulnerable sector screening, tuberculosis screening and proof of immunization in accordance with the Fixing Long-Term Care Act, 2021 (O. Reg 246/22).
