Position Description

One (1) Permanent Exempt (PEX) full-time, full year (260 days) position.

Notes:
1. This position is grant-funded and is funded on a yearly basis. Hours are subject to change after appointment dependent upon funding status.
2. This is not a remote work position and requires office presence.

Under general supervision, the 1842 Management Assistant is responsible for complex managerial and analytical duties to support the operation of Admissions and Records. The individual performs professional-level administrative and/or management duties that support to the education process with specific responsibilities in a variety of functional areas, such as: office/operations management; budget development, administration and fiscal reporting; development and administration of contractual agreements and grants; and evaluation and development of management policies and procedures, including evaluation of impact of existing and proposed legislation; and coordinate the activities and services of the office. The individual must be able to function under a demanding environment with tight deadlines. This position may be required to work at other locations; evenings, weekends, and holidays as needed.

EssentialFunctions
  1. Assists in the development and implementation of policies, procedures, and work practices of the department (e.g. reviews and evaluates proposed and existing legislation, the effect on organizational structure and operations, etc.) for the purpose of complying with overall CCSF policies, procedures and goals.
  2. Compiles and produces a variety of manual and electronic files, records and/or records for the purpose of ensuring the availability of documentation and current campus resource material and compliance with established departmental policies, procedures and goals.
  3. Coordinates the functions of the department/center/office (e.g. plans, prioritizes, and schedules workload; delegates specific tasks as necessary, coordinates and oversees clerical and technical support activities, monitors productivity and evaluates outcomes, etc.) for the purpose of ensuring completion of assignments in a timely manner within established policies and guidelines.
  4. Coordinates work and planning functions with other offices (e.g. addressing issues with personnel, representatives of other departments, outside agencies, members of the public, etc.) for the purpose of meeting and establishing goals and objectives.
  5. Manages classified and student workers payroll and postings for vacancies (e.g. absences, time sheets, sick leave, vacation, holidays, comp time, etc.) for the purpose of complying with policies and regulations; and completing necessary procedures and documents to support department operations.
  6. Monitors department budgets for a variety of sites for the purpose of ensuring that allocations are accurate, expenses are within budget limits and compliance with regulations, policies and procedures.
  7. Oversees all daily activities and services of the department/office/ center (e.g. direct students to appropriate support programs as assigned by department chair and/or administrator, etc.) for the purpose of offering accurate college information and resources in support of navigating students to educational success at multiple locations.
  8. Participates in meetings, workshops, trainings, and seminars for the purpose of conveying and/or gathering information required to perform functions.
  9. Prepares processes and materials for meetings (e.g. assists in development of agenda, makes presentations, takes minutes, etc.) for the purpose of providing and receiving information.
  10. Prepares written information and digital media (e.g. correspondence, agendas, reports, center's marketing collateral, work order tickets, event calendars, space rental, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
  11. Represents department/office/center at meetings and hearings on specific issues as needed for the purpose of conveying and gathering information as required.
  12. Responds to inquiries from a variety of sources (e.g. administrators, faculty, staff, and prospective and current students, the public, etc.) for the purpose of acting as point of contact for the department and providing information.
  13. Serves as the building manager at some sites (e.g. coordinating building security, maintenance, utilization of space, etc.) for the purpose of ensuring a safe environment and facility for students, employees and the public.
  14. Trains, supervises, manages, and evaluates the performance of assigned staff and student workers for the purpose of meeting departmental and administration objectives and goals.
  15. Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the department.


Minimum Qualifications

Education: Possession of a Baccalaureate Degree from an accredited college or university.

Experience: One (1) year full-time equivalent experience performing professional-level management and/or administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas.

Substitution: Additional qualifying experience performing professional-level administrative duties in functional areas such as program/office/operations management, budget development and/or administration, or contract/grant administration may substitute for the required education on a year-for-year basis. One (1) year (2000 hours) of additional qualifying experience will be considered equivalent to thirty (30) semester units or forty-five (45) quarter units.

Note: College Work Student and Student Lab Aide experience with the District will be considered/applied as qualifying experience per an agreement made between the District and SEIU. This agreement will allow District students to take advantage of employment opportunities.

Desirable Qualifications

1. One or more years of increasingly responsible administrative support or coordination experience in a higher education setting.

2. Experience working in Community College programs or setting supporting diverse student populations.

3. Must be able to handle heavy public interaction with the public in a professional manner, consistent with institutional mission.

4. Ability to effectively organize and prioritize tasks and events, independently and in collaboration with others and completing multiple tasks in a timely manner.

5. Experience working with budgets, in addition to ability to analyze and interpret policies, procedures, and regulations.

6. Effective experience in conflict resolution in person, email, and/or by phone. Ability to take initiative, problem-solve and work independently with good judgment about when to seek direction.

7. Knowledge of management practices and applying complex management skills including project and/or program management.

8. Ability to maintain good interpersonal working relationships with variety of college stakeholders including staff and students and external partners such as SFPD and SFFD.

9. Strong ability to work and make determinations independently in line with general guidance of the supervisor and/or department administrator.

10. Must be highly proficient in Outlook, Microsoft Office 365, Google Docs. Ability to utilize current technology to enhance services, administer website updates and other programmatic requirements as needed. Experience using Banner, Argos, or other educational institutional system

New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund (RHCTF).

Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full-year (260 days/year) work schedules are granted, as paid days off, the days between Christmas Day and New Year's Day, as well as an additional five (5) paid days off during spring break. Eligible school-term-only (STO) employees who are not scheduled to work the designated days between Christmas and New Year's Day shall be granted three (3) paid days off to be scheduled by mutual agreement between the employee and supervisor. Eligible school-term-only (STO) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.
