About the Role:

Atomic Machines is looking for a full-time Coordinator to join our Santa Clara office as the first face our Atomizers, candidates, and visitors see every day. This role sets the tone for what it feels like to walk through our doors, greeting everyone with warmth and professionalism, while keeping our front office running smoothly behind the scenes.

We are looking for someone who is highly organized, proactive, resourceful, and excited to advance their career in a high-tech startup. You'll coordinate across multiple teams daily, from office administration, Atomizer experience, executive support, vendor coordination, recruiting, and facilities, automating processes and building scalable internal tools that will support our next phase of growth.

This is an opportunity to gain broad exposure across the business, partnering with every team and owning the front desk experience as we continue to expand.

If you are passionate about creating structure, anticipate needs before they're asked, enjoy helping others, and are excited by using and learning new technology to automate our workplace coordination practices, we'd love to hear from you.

What You'll Do
  • Be the primary front-desk presence and first point of contact for everyone entering the office.
  • Manage front-desk operations, including visitor check-in, NDA execution, incoming deliveries, and shared spaces.
  • Coordinate daily workplace operations, including conference rooms, kitchens, office lunches, supplies, equipment, and maintenance.
  • Support workspace planning, Atomizer onboarding logistics, office readiness, and general administration.
  • Coordinate with vendors, building management, and service providers to support facilities and office operations.
  • Monitor office supplies, equipment, and shared spaces to ensure Atomizers have an exceptional workplace experience.
  • Maintain operational records, documentation, budgets, trackers, and workplace resources.
  • Partner with teams across the company to support administrative and operational needs as the business evolves.
  • Assist with company events, team gatherings, and Atomizer engagement initiatives.
  • Help foster a welcoming, collaborative, and positive workplace culture.
  • Identify opportunities to improve efficiency through automation, technology, and standardized processes.
  • Help build scalable workplace systems that support Atomic Machines as we continue to grow.

What You'll Need
  • Good technical aptitude, including usage of AI tools to improve efficiency, automate workflows, and support scalable operations.
  • Comfort using Google Workspace, including Google Calendar, Docs, Sheets, and Forms.
  • Strong organizational skills and attention to detail.
  • Clear written and verbal communication.
  • A positive, professional, and service-oriented approach.
  • Strong follow-through and the ability to manage multiple priorities.
  • Ability to work independently while partnering effectively across teams.
  • High integrity, discretion, and sound judgment.
  • Ability to handle confidential and sensitive information appropriately.
  • Adaptability and the ability to remain calm when priorities shift.
  • Resourcefulness and a willingness to take on both routine and unexpected tasks.
  • Bachelor's degree.
