The New York Times is continuing to expand its video journalism with new and continuing shows offering extraordinary news coverage, important investigations and compelling conversations about culture and lifestyle. These shows come to life across our podcast feeds, in social media programming and on our own platforms.
We are seeking a Video Production and Planning Coordinator to support the expansion of the Shows department. You will help pilot and scale new workflows while keeping complex productions organized, on schedule and clearly communicated.
You are familiar with video or audio production and have a strong interest in an array of topics. You have a sharp eye for detail, can multitask and are able to prioritize to meet and help others hit deadlines. You are digitally savvy, a fast learner and motivated by problem-solving. Confidentiality, collegiality, collaboration and diplomacy are essential, as is the assertiveness required to help hold teams to deadlines. You will work closely with colleagues across the newsroom, and in conjunction with the video operations team, studio management, programming teams, producers and department leadership.
This is an in-office position, based in New York City and includes regular attendance in the office four days each week. There may be some flexibility to work remotely per your departmental guidance. Some evening or weekend work may be required as news or production demands.
Responsibilities:- Coordinate and track many moving parts of the department's projects from pre-production through post-production, in collaboration with the video operations team and studio management.
- Partner early in product development to coordinate rollouts across show teams, working closely with the Strategy and Operations Deputy to develop communications plans, engage the right stakeholders at the right time, and support the implementation of new workflows.
- Draft call sheets and other production documentation for field and studio shoots
- Communicate project status with stakeholders and leadership to ensure productions are on track for reviews, standards and legal checks, and publishing deadlines.
- Coordinate production handoffs between staff working on projects in different time zones or on varying shifts, ensuring continuity of information and materials.
- Work with studio management to coordinate scheduling and production needs for podcast-video shoots and other video productions.
- Coordinate many parts of Shows collaborations and related programming work, including but not limited to:
- Building and maintaining the Airtable each morning
- Sending the end-of-week assignment note to producers that summarizes upcoming priorities, deadlines and owners.
- Working with the Watch tab team and show producers to ensure podcast videos and related clips are correctly entered, tracked and updated in Scoop and other newsroom systems.
- Helping organize launches
- Identify opportunities to improve workflow, project tracking and automated reminders for production updates, including how we use Airtable, Scoop, Google Sheets and other tools.
- Manage workflow and process documentation
- Provide support on shoots when needed, including welcoming freelancers, escorting them to studios, coordinating with studio staff, and helping to ensure production runs smoothly.
- Help with talent coordination (add guests to envoy, bringing them up to the studio), maintain the greenroom
- Demonstrate support and understanding of our value of journalistic independence and a strong commitment to our mission to seek the truth and help people understand the world.
- You will report to the Strategy & Operations Deputy.
Basic Qualifications:- Minimum 2 years of experience coordinating or planning in a newsroom or comparable editorial environment.
- Familiarity with Google Workspace, Airtable, Miro and other project management tools
- Proven organizational or project management skills, including experience tracking multiple projects and deadlines simultaneously.
- Basic data analysis skills and comfort working in spreadsheets to track assignments, schedules and performance.
- Experience working with or around audio or video production (e.g., podcasts, studio shoots, field shoots, editing workflows)
- Manage multiple projects at once.

The annual base pay range for this role is between:
$113,945-$115,000 USD
