Role DescriptionThe Utility Coordinator is responsible for the administrative and procedural execution of utility projects from initial due diligence through final energization. This role serves as the central hub for the front-end utility funnel, ensuring that high-volume applications move through the pipeline efficiently and that all project data remains accurate across internal platforms. As a junior-level role, the Utility Coordinator manages repeatable tasks and adheres to strict project timelines, providing critical organizational support to the Energy & Utility team. This position is accountable for key project phases within the RACI matrix, bridging acquisition, development, construction, and utility coordination through hands-on coordination and process discipline.
Core Responsibilities- Utility Pipeline Coordination: Manage the submission and tracking of load study applications, maintaining real-time accuracy and coordinating results to help prevent project delays.
- Project Tracking: Maintain accountability for project milestones within the utility pipeline; proactively identify risks and blockers, and support tasks and project completion. Ensures all utility documentation is submitted by project deadlines.
- System Data Integrity: Maintain accurate project records in Smartsheet, Procore, and other systems, ensuring all stakeholders have a single source of truth for utility status.
- E&U Data Support: Gather and organize technical equipment data and cost benchmarks to assist Energy & Utility (E&U) Managers in preparing energization estimates.
- Utility Standards: Support maintaining utility standards documentation, ensuring technical documents and site requirements are organized and accessible to engineering teams.
- Administrative Design Support: Facilitate the technical redline process by coordinating feedback between internal stakeholders and third-party engineers; ensure all redlines are accurately captured and filed.
- Energy-Rate Analysis Assistance: Assist in collecting and analyzing utility tariff data and energy usage information to support operational cost evaluations.
- Field & Crew Scheduling: Coordinate pre-construction site walks and inspections; act as a primary point of contact for scheduling final energization with utility crews and field technicians.
- Account Transition: Manage the setup of new utility accounts and facilitate the transition of billing information to the operations team to support a seamless handoff.
Minimum Qualifications- Bachelor's degree in Engineering, Business Administration, Construction Management, or a related field/experience.
- 3-5 years of experience in project coordination, utility administration, or construction management.
- Proven Project Management Skills: Demonstrated ability to manage high-volume, repeatable tasks and maintain complex project timelines with high attention to detail.
- Advanced Proficiency in project management tools: Experience using project management tools to track project health and maintain data integrity is highly preferred. Ideally, experience with Procore and Smartsheets.
- Communication: Strong organizational and communication skills, with the ability to hold external utility partners accountable to project schedules.
Preferred Qualifications- Domain Expertise: Experience or strong working knowledge of the power and energy sectors, including electrical utilities, grid infrastructure, and energy project lifecycles.
- Drafting Knowledge: Experience with drafting software (e.g., Bluebeam) is a significant plus, specifically for interpreting site layouts and utility schematics.
