Overview

OverviewZenith is seeking a highly organized, proactive, and solutions-oriented Supervisor, Project Management to create and orchestrate workflows across our Data Science, Audience Strategy, and Business Strategy pillars for the VM1 Verizon team.

The ideal candidate is an experienced project architect who thrives in fast-paced environments, enjoys bringing structure to ambiguity, and can proactively identify process improvements that increase team effectiveness.
While you do not need to be a data scientist or a media planning SME, you must possess the curiosity to understand high-level technical workflows (such as building ML models, automating reports, building dashboards, delivering insights) so you can confidently drive accountability and map realistic timelines.

Responsibilities

Proactive Account Coordination and Project Ownership
  • End-to-End Tracking: Own and drive projects from intake through completion using Kanban-based tracking system to maintain clear timelines and accountability, while proactively monitoring health to identify and resolve risks, bottlenecks, and dependencies.
  • Task Prioritization: Facilitate project prioritization conversations and help teams distinguish urgent versus other important work.
  • Backlog Evaluation: Actively evaluate project backlogs to align cross-functional stakeholders on true priorities, shield the team from false urgencies, and ensure balanced delivery across data science and strategy pipelines.
  • Communication & Operational Defense: Serve as the primary point of contact for internal and client communications. You will intercept and triage inbound requests, confirm receipt, verify if it is within or out of scope, establish immediate next steps, and mobilize the necessary stakeholders to prevent critical details from falling through the cracks, while owning the project lifecycle from initiation to final QA.

Stakeholder Management & Accountability
  • Communication Frameworks: Establish standardized communication frameworks to streamline cross-functional follow-ups and drive decision-making, ensuring critical details aren't lost in ad-hoc messaging.
  • Cross-Functional Coordination: Serve as a central coordinator across cross-functional teams including Audience Strategy, Data Science, Business Strategy, Analytics, Epsilon, Media Strategy, and Investment teams.
  • Milestone Tracking: Proactively follow up with stakeholders to ensure deliverables, reporting requirements, and project milestones are completed on schedule.
  • Accountability: Drive accountability across teams by identifying overdue actions, escalating risks, and maintaining visibility into project progress.
  • Asynchronous Project Visibility: Drive progress across multiple strategic pillars without needing to attend every meeting. Maintain full control and team accountability through clear, effective tracking systems.

Process Improvement & Operational Excellence
  • Deliverables Management: Manage recurring and ad hoc deliverables, reporting cadences, and audience platforms.
  • Workflow Evaluation: Evaluate existing workflows and proactively identify opportunities to improve efficiency, communication, and project execution.
  • Process Optimization: Design, manage and optimize scalable process workflows for cross-functional handoffs, establishing SOPs or repeatable agency playbooks and workflows for how our technical AI/ML data science teams hand off work to cross-functional teams.
  • Governance Frameworks: Maintain governance frameworks that improve transparency, prioritization, and resource planning.

Qualifications

  • Experience: 3-5+ years of project or program management or client operations experience within a fast-paced media, marketing, or advertising agency environment.
  • Operational Expertise: Proven success managing multiple concurrent workstreams with complex, data-driven components, and/or competing priorities. Strong background in agile frameworks or Kanban board design.
  • Platform Literacy: Mastery of workflow tools like Planner, Asana, JIRA, Trello, or Smartsheet, and proficiency in Microsoft Office 365 as well as Google Workspace.
  • Technical Appetite: High level of comfort working alongside teams building AI/ML models, dashboards, using tools like Databricks.
  • Leadership Traits: Exceptional communication and "managing up" skills. Ability to maintain extreme attention to detail, enforce standard operating procedures (like project intake forms), and tactfully drive stakeholder accountability.
  • Core Skills: Strong experience with project planning, prioritization, risk management, stakeholder communication, and process improvement.
  • Certifications: Agile, PMP, Scrum, or similar project management certification preferred.
