Reporting to the Manager, Billing, the Supervisor, Billing will be responsible for providing day-to-day supervision of the billing process, including the development and implementation of the Firm's billing process improvements, billing best practices and the firm's overall billing strategy. The Supervisor will be responsible for the oversight and supervision of a team of billing coordinators, including training/mentoring, development, escalation handling, one on one meetings, ensuring consistent delivery of accurate, timely, and "white glove" service to Partners and clients. The Supervisor will also handle a Billing portfolio which will include the management of full cycle billing, and operate as a subject matter expert in all billing matters.

Major Responsibilities- Train, mentor, and develop billing staff, elevating technical capability and performance standards
- Review and oversee team output to ensure accuracy, compliance, and consistency with best practices
- Lead by example in quality, responsiveness, and accountability within a fast-paced environment
- Act as first point of escalation for complex billing and client-related issues
- Contribute to performance management, hiring, and continuous improvement of team processes
- Uphold and continuously refine billing best practices, ensuring alignment with firm and client expectations
- Identification, recommendation and implementation of billing process improvements
- Education of the Billing group in related topics, such as billing policies, procedures, e-billing, billing-related software, special billing arrangements, and monitoring compliance with Osler Billing Policies
- Handle client inquiries and resolves discrepancies. Maintains accurate records of all communications in the system
- Responsible for maintaining good relations with internal and external clients
- Responsible for training of Legal Professionals and their Assistants for the billing process and billing-related software
- Assist with all month-end/year-end deadlines in an efficient manner
- Prepares ad hoc reports for analysis of financial details for billing partners/clients
- Other duties as assigned including assistance with special projects. Participate in the implementation and testing of systems upgrades and billing software
- Lead the annual performance review of assigned Billing team members
- Perform other duties as required
Position RequirementsEducation and Experience
The position requires a university or college degree in a business discipline, including some accounting and finance courses, with a minimum of 5 years of billing or e-billing experience. Experience with Aderant, Pre-Bill Viewer, eBilling platforms or similar legal billing software is required. An equivalent combination of education, training and experience may be acceptable.
Knowledge and Skills
- Aderant accounting software and database knowledge
- Computer proficiency in Microsoft products including Word, Outlook, and Excel as well as an in-depth knowledge of other tools such as Adobe Acrobat, Prebill Viewer, PowerBI, InTapp, NBI
- Strong skills in leadership, project management, organization, customer relations and ability to prioritize effectively
- Ability to interact with senior members of the Firm, including the Partners and earn their trust and confidence
- Supervisory skills are required to lead, develop, and motivate staff in a fast-paced and always changing work environment and ensure cross-training of all staff
- Attention to detail and analytical skills
- Ability to organize data to achieve desired results and design custom reports
- Time management and organisational skills to efficiently multi-task and prioritize among many demands
- Experience with eBillingHub and other eBilling platforms is an asset
- Bilingual in English and French considered an asset
CompensationThe range of expected compensation for this position is $80,000 - $90,000 annually. Compensation offered will be based on a variety of factors including job-related knowledge, education, skills and experience.
We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
