We're looking for an experienced Subcontracts Administrator to join our dynamic team and play a key role in managing subcontracts for a major infrastructure project. You'll oversee the full subcontract lifecycle from negotiations to closeout, ensuring compliance, mitigating risks, and building strong partnerships with subcontractors.

Essential Responsibilities:- Manage assigned subcontracts from negotiation through completion, monitoring progress, and flagging potential financial or technical issues.
- Lead subcontractor onboarding processes and coordinate with discipline leads.
- Maintain subcontract databases, upload executed documents and accurately tag data points.
- Draft and prepare subcontracts for internal approvals and execution.
- Negotiate subcontract pricing, terms, and conditions.
- Review and track subcontractor onboarding documentation, including insurance requirements, for completeness and compliance.
- Administer insurance policies and claims within project deductible limits, ensuring renewals are monitored and issues escalated to project leadership.
- Coordinate with internal teams to address contractual rights, obligations, and performance matters.
- Ensure full compliance with contract requirements and update project teams accordingly.
- Implement change management procedures, including validation, drafting, negotiation, and documentation of change orders.
- Prepare timely and accurate contractual correspondence.
- Track key deliverables (e.g., bonds, reports, insurance certificates), and maintain change logs and summary reports for management.
- Participate in subcontractor kickoff meetings, regular progress meetings, payment administration, schedule monitoring, and subcontract closeout.
Qualifications:- 5+ years of related work experience in civil construction as a Subcontracts Coordinator.
- Post-secondary education in civil engineering or a related field.
- Strong knowledge of Design-Build or Collaborative Contract models is an asset.
- Proven experience on large-scale infrastructure projects for a General Contractor in Canada (rail transit, highways, bridges, roads, etc.).
- Hands-on subcontract management and electronic record-keeping experience.
- Prior experience working with contracts, record management and certificates of insurance.
- Knowledge of the rail and transit construction industry is an asset.
- Ability to interpret and apply technical, commercial, and legal concepts to subcontract issues.
- Strong organizational skills with keen attention to detail.
- Proficiency in Microsoft Word, with working knowledge of Excel and PowerPoint.
- Excellent verbal and written communication skills.
- Ability to work independently, meet deadlines, and adapt to changing priorities in a fast-paced environment.
- Strong relationship-building skills and a collaborative mindset.
Working Conditions:- Site based position in Oshawa, Ontario.
- Occasional travel to downtown Toronto office will be required for the duration of the project.

This is the expected base pay range for this role. Individual base pay will be determined based on a variety of factors including experience, knowledge, skills, education and location.
