Position Summary

The Senior Manager, Billing Operations, is a key leadership role responsible for overseeing and optimizing billing processes across multiple functional teams. This individual leads a multi-tiered organization that includes the Matter Information team, Billing Compliance team, the Rejection Specialists team, and cross-functional operations and reporting functions. The Senior Manager drives operational excellence, compliance, and team performance while serving as a strategic partner to organizational leadership.

This position may be remote, but the successful candidate must reside in a state where we have a physical office.

Essential Functions

Organizational Context
  • Matter Information Department, responsible for accurate intake and management of matter and client-level billing data. This includes eBilling vendor management and setup.
  • Compliance Department, responsible for establishing and maintaining rate structures and timekeeper submissions.
  • Operations and Reporting, responsible for operational workflows, performance analytics, and leadership reporting.
  • Vendor Relationships, with a dual focus on managing external vendor partnerships and overseeing rejection resolution processes.

Key Responsibilities

Leadership & People Management
  • Lead, mentor, and develop a multi-level team of managers, analysts, specialists, and coordinators across billing compliance, rejections, and operations functions.
  • Set clear performance expectations, conduct regular 1:1s and performance reviews, and foster a culture of accountability and continuous improvement.
  • Drive employee engagement, retention, and professional development across all direct and indirect reports.

Billing Operations & Compliance
  • Oversee end-to-end billing operations, ensuring accuracy, timeliness, and compliance with regulatory and organizational standards.
  • Ensure matters are set up accurately and timely in the billing systems.
  • Establish client onboarding procedures and accurate setup in all systems.
  • Provide strategic direction to the Billing Compliance team and Matter Information Team, ensuring adherence to all applicable billing guidelines.
  • Monitor key performance metrics related to billing accuracy, rejection rates, and implement corrective action plans as needed.
  • Ensure all billing practices align with company policies outside council guidelines.

Rejection Management
  • Oversee the Rejection Specialists teams to ensure timely and accurate resolution of rejected invoices.
  • Analyze rejections, identify root causes, and partner with the Billing Department, Attorneys, and Practice Assistants to implement sustainable process improvements.
  • Establish and maintain workflows that minimize rejected invoices and maximize revenue recovery.

Reporting & Analytics
  • Partner with the direct report and BA to develop and maintain control reports and reporting tools that provide actionable insights for leadership.
  • Present operational metrics, trends, and strategic recommendations to the Director, Financial Operations, and senior leadership.
  • Leverage data to identify opportunities for process optimization, cost reduction, and revenue enhancement.

Strategy & Cross-Functional Collaboration
  • Serve as a key liaison between Billing Operations and other departments, including Billing, Finance, Compliance, IT, Attorneys, and Practice Assistants.
  • Support the Director, Financial Operations, in executing departmental strategy, driving change initiatives, and scaling operational capabilities.
  • Lead or contribute to special projects, including technology implementations, process redesigns, and compliance audits.

Requirements

  • A bachelor's degree in Accounting, Finance, or Business Administration.
  • 7+ years of progressive experience in billing team management with a strong track record of leading and scaling billing operations.
  • Background in Matter set up and client onboarding with a focus on eBilled matters.
  • Experience in the legal industry, with familiarity with legal billing standards, practices, and client requirements.
  • Hands-on experience with Aderant, BillBlast, and Intapp billing platforms.
  • Experience navigating and managing vendor billing websites and external billing portals.
  • Strong analytical skills with the ability to interpret data, identify trends, and translate findings into operational improvements.
  • Excellent communication, presentation, and stakeholder management skills.

Preferred
  • Familiarity with immigration-related billing processes or immigration business coordination.

In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for this Colorado position is between $115,096.80 and $148,948.80. In accordance with New York State's Wage Transparency Law, the expected salary range for this New York State position is between $105,284.40 and $164,392.80. In accordance with California's amended labor code as stated in Senate Bill 1162, the expected salary range for this California position is between $108,732.00 and $164,392.80. In accordance with the Washington Equal Pay and Opportunities act, the expected salary range for this Washington position is between $120,931.20 and $156,499.20. In accordance with the Wage Transparency Omnibus Amendment Act, the expected salary range for this DC position is between $120,931.20 and $156,499.20. In accordance with Maryland's Equal Pay for Equal Work-Wage Range Transparency Law, the expected salary range for this Baltimore position is between $108,732.00 and $140,712.00. In accordance with Illinois Equal Pay Act Transparency Notice, the expected salary range for this Illinois position is between $120,931.20 and $156,499.20. In accordance with Massachusetts Frances Perkins Workplace Equity Act, the expected salary range for this Massachusetts position is between $127,030.80 and $164,392.80. In accordance with Minnesota Pay Transparency Law, the expected salary range for this Minnesota position is between $108,732.00 and $140,712.00. In accordance with New Jersey Senate Bill 2310, the expected salary range for this New Jersey position is between $127,030.80 and $164,392.80. In accordance with applicable laws and regulations, as of the date of this posting, a good faith estimate of the current scale range for this position in Cleveland, OH is $105,284.40 and $136,250.40 annually. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law. This position qualifies for the benefits below.
