Overview

We are seeking an experienced Executive Assistant to join the Clinical Diagnostics Group senior leadership team. You will provide exceptional administrative support to the President, EVP Clinical Diagnostics Group and secondary support to additional Executives or leaders as needed and assigned. You will serve as the primary point of contact for the office of the Clinical Diagnostics EVP, with an emphasis on complex scheduling, project support, travel, and expense management. You will be an integral member of the executive support team and play a key role in helping cultivate a strong culture of teamwork. The position requires exemplary service orientation, excellent organizational skills, and independent problem solving. The successful candidate will be proactive, curious, detail-oriented, and able to balance long range scheduling and planning activities while also responding to urgent items as they arise. The role requires a high degree of technical savvy and experience with common office software programs.

How You’ll Make An Impact: 

  • Proactively manage leader(s) and team calendars with an understanding of leader goals and the annual operating cycle. 
  • Exercise judgment and prioritize complex schedules and tasks accordingly. 
  • Proactively prepare leader(s) for meetings, ensuring that agendas are prepared in advance and well-communicated and that key leadership and relevant stakeholders are prepared and aligned. 
  • Anticipate needs and problems with regards to scheduling, communication and support; effectively meet deadlines through multi-tasking and prioritizing. 
  • Partner with EVP and key leadership to effectively manage evolving schedule priorities and communicate to all involved parties. 
  • Project manage activities, programs and one-off projects as needed in support of EVP and other leaders. 
  • Plan and execute both small and large events including on and off-site meetings, large presentations, social and team building events, etc.  

What You Bring: 

  • Education: High School Diploma or equivalent; College degree preferred. 
  • Work Experience: 10+ years of administrative leadership experience in a dynamic and demanding environment. 
  • Proficiency in technology required to perform the role (MS Word, Excel & PowerPoint, SharePoint, etc.) and a quick learner of new applications. 
  • SAP familiarity a plus. 
  • Strong organizational skills and attention to detail. 
  • High levels of trust, customer service, professionalism, punctuality, and reliability. 
  • Consistent and regular follow through on all requests. 
  • Ability to effectively communicate and connect with individual contributors and Senior Executives with an equal level of respect and composure.

Location: This position must be based in Hercules, CA and requires the employee to be located within commuting distance of the office.

Compensation: The estimated base salary range for this position is $107,900 to $148,000 at the time of posting. Actual compensation will be provided in writing at the time of offer, if applicable, and is based on several factors we believe fairly and accurately impact compensation, including geographic location, experience, knowledge, skills, abilities, and other job permitted factors. This position is eligible for a variable annual bonus, which is dependent upon achievement of your individual objectives and Company performance.
