Job Posting: Site Superintendent - Tenant Improvements

Position Overview: We are seeking an experienced Site Superintendent - Tenant Improvements to oversee on-site construction activities, manage trades, ensure adherence to safety policies, and maintain project schedules and budgets. The ideal candidate is a hands-on leader who drives progress, solves problems, and ensures that projects are completed to VPAC's high standards.

Key Responsibilities:

Project Start-Up:
  • Ensure each new project starts in accordance with VPAC's Standard Project Start-Up Procedures.
  • Conduct Project Start-Up Meetings for each new job.

Cost and Schedule Control:
  • Maintain budgets within the General Conditions of each project.
  • Collaborate with the Project Manager to monitor General Conditions expenses.
  • Schedule trades and suppliers in alignment with the master schedule and maintain daily communication with the Project Manager regarding any schedule deviations.
  • Oversee Takt and Pull Planning, Smartsheet schedule updates, and weekly project schedule reporting.

Site Management:
  • Oversee daily site operations, ensuring adherence to quality construction standards.
  • Implement and maintain a site-specific QA/QC process based on VPAC's SOPs.

Submittal and Document Control:
  • Follow VPAC's documentation standards in Procore throughout the construction process.
  • Monitor and review plans, specifications, shop drawings, and other submittals according to VPAC's SOPs.

Communications and Corporate-Client-Public Relations:
  • Demonstrate professional leadership by fostering strong relationships and effective communication with corporate team members, clients, civic officials, and the public.

Project Close-Out:
  • Ensure timely project close-out, including the completion of all subtrade work and deficiency resolution.

Post-Construction Phase:
  • Support the Project Manager with post-construction tasks to ensure compliance with maintenance and warranty provisions.

Site Safety:
  • Ensure all sites adhere to VPAC and WorkSafeBC safety policies.
  • Maintain site presentation standards in accordance with VPAC's procedures.


Duties:
  • Drive project construction progress by proposing and implementing solutions to maintain or improve the schedule and budget.
  • Be on-site during active work; hours determined by project needs.
  • Complete daily logs of work performed, manpower, safety issues, etc., and submit via Procore by end of day.
  • Monitor contractor performance and report daily on compliance with project documents and schedule.
  • Hold Monday morning meetings with VPAC trades/labour to set daily directions and goals.
  • Prepare and manage weekly deficiency and to-do lists, ensuring timely resolution.
  • Capture and upload daily digital photos of site progress in Procore.
  • Proactively identify and address quality issues before further work proceeds.
  • Act as on-site Safety Director, ensuring subcontractor compliance with WCB requirements (or collaborate with dedicated Site Safety Officer as applicable).
  • Schedule all City, Consultant, and Special Inspections, reviewing reports and addressing noted issues.
  • Ensure all final inspection requirements and documentation are ready to meet occupancy targets.
  • Resolve on-site issues with solutions and clear timelines.
  • Maintain complete site documentation in Procore, including drawings, progress reports, inspections, safety reports, timesheets, and correspondence.
  • Coordinate and prepare as-built drawings.
  • Manage daily project correspondence to ensure timely resolution of project-related actions.
  • Log and distribute all project documents (e.g., drawings, specifications, shop drawings, change orders, consultant reports, test results, RFIs).
  • Provide value-added insights to design challenges without assuming design responsibility.
  • Ensure only "For Construction" drawings/specs are distributed to site personnel and subcontractors.
  • Review and update the weekly schedule.
  • Attend and minute weekly meetings with trades, consultants, and clients.
  • Attend Client/Consultant site meetings.
  • Assist in coordinating occupancy and substantial completion certificates.
  • Support the Project Manager in expediting trades and suppliers.
  • Notify the Project Manager of any major disputes with subtrades or suppliers.
  • Perform other site work as required.


Qualifications:
  • Minimum of 5 years' experience as a Site Superintendent, preferably in tenant improvement or multi-family residential construction.
  • Strong leadership, communication, and problem-solving skills.
  • Proficiency with project management software (Procore, Smartsheet) and Microsoft Office Suite.
  • Knowledge of construction contracts, schedules, and cost control.
  • Familiarity with WorkSafeBC regulations.
