As Senior Office Manager, you will take ownership of workplace management, vendor coordination, and office experience for our New York City office, ensuring smooth operations and a welcoming environment for our team.

This is your opportunity to shape the workplace experience for a fast-growing global AI company as it builds out its US presence.
Areas of ownership:
  • Workplace Operations: Oversee day-to-day office operations, ensuring a seamless experience for employees and visitors while keeping the office well-stocked, organized, and comfortable.
  • Vendor & Facilities Management: Manage vendor relationships, negotiate contracts, and serve as the key point of contact for landlords, security, and service providers on all facility-related matters.
  • Budget & Procurement: Own workplace budgets, including forecasting and expense tracking, and oversee office-related procurement of supplies, equipment, and services.
  • Policy, Safety & Compliance: Develop and implement office policies and procedures, and lead safety, security, and emergency preparedness efforts to maintain a compliant work environment.
  • Culture & Cross-Functional Support: Organize office events, celebrations, and engagement activities in collaboration with global teams, and partner with IT and People & Culture on onboarding, offboarding, and workplace experience improvements.


Who you are:
  • 5+ years of experience in office management, workplace operations, or a similar role in a fast-paced environment
  • Proven experience with vendor negotiations, contract management, and budget tracking
  • Independent and self-sufficient, able to take full ownership of office operations despite the time difference with Berlin-based leadership
  • Strong project management and organizational skills, with the ability to juggle multiple priorities and solve problems proactively
  • Knowledge of New York workplace compliance, safety, and security regulations

Salary Range
