This position will be on a team of 4 in which report to the Director, Physical & Occupational Therapy Elizabeth Rodgers. The Physical Therapy Senior Manager is responsible for identifying & responding to all operational service needs.
This position will oversee & manage the Physical & Occupational Therapy Site Supervisors & work with the Ancillary Services Manager to oversee Centralized Scheduling for the department.
The candidate will be responsible for site visits to therapy practices, facilitating issue resolution, improving & streamline processes, overseeing all training & orientation & work with Site Supervisors on individual therapist metrics & quality as well as maximize schedule utilization & scheduling efficiency.
The PT Sr. Manager must have the ability to prioritize multiple tasks; to work effectively in both independent & team environments; to work at many levels within the Duly organization; to be organized with attention to detail & follow though; to have excellent computer skills; possess diplomacy & strong interpersonal skills; have an ability to problem solve, think creatively & possess a strong sense of urgency.
Scope will include supporting all Duly PT locations & services; interfacing with Duly internal departments to understand & help resolve any performance problems; planning, throughout the department. The Physical Therapy Senior Manager ensures work is accomplished in accordance with Duly policies & external government laws & state regulations.
Essential Duties & Responsibilities: Develops, directs & implements as overseen by the Director, Physical & Occupational Therapy, processes designed to
Foster positive relations between contracted & employed Duly physicians, their administration & clinical staff & the Duly PT/OT Department. Promote all aspects of the PT/OT Department throughout the Duly organization by:
- Strengthening relationships with internal Duly administrative departments.
- Understanding the 'end-to-end' business processes.
- Developing & implementing an on-boarding handbook & referring process for newly acquired Duly physician practices with measurable goals & objectives.
- Implementing the on-boarding process & transitioning new practices from 'Day 1 launch' through provision of all appropriate therapy requirements by transferring all prior referral relationships to Duly.
- Updating & refining the current referral & ordering instructions, including patient instructions, & evolving the current process to achieve full compliance by all referring practices.
- Acting as a liaison between Clinic Managers & the Dir. of PT/OT.
- Managing all Clinic Managers in daily clinical operations, individual performance in their assigned role as "CM" including performing or delegating training, mentoring, & coaching.
- Using reporting tools measuring schedule utilization & direct units/hour
- Developing strategies to maximize PT's productivity.
- Work with Clinic Managers to educate new staff, coach under-performing staff, & execute Performance Improvement Plans when necessary.
- Resolving all Epic/EMR processes including incorporating all patient information into Epic, standardizing documentation & adjusting all templates as necessary for maximum efficiency & compliance
- Coordinating, with Clinic Managers, quarterly chart audits for all staff therapists & providing twice yearly documentation in-services
- In collaboration with Clinic Managers, oversee hiring & training of new PT & OT technicians; review, refine & standardize on-boarding checklists, orientation checklists & technician competencies
- Working with the Ancillary Services Manager & Scheduling Supervisor to oversee the Centralized Scheduling staff & the scheduling process for the whole of the PT/OT Department.
- Ensure schedulers have tools necessary to ensure access to therapy services are no limited due to barriers within Epic.
- Collaborate with the Scheduling Supervisor for any coaching or performance improvement needed for this staff.
- In collaboration with Lead Receptionists, oversee hiring & training of all front end staff; review, refine & standardize on-boarding checklists & orientation resources & competencies
- Streamlining front end operations from 'check-in' to 'check-out' of a patient experience such that all clinics are utilizing the same workflow.
- Documenting all project development activity using a spreadsheet based tool & communication with Director, Clinic Managers, Staff Therapists & support staff.
- Managing the PT/OT department customer survey process, including use of FOTO, both for patient & physicians, & reporting results.
- Utilizing customer feedback data to determine areas of consideration & implementing changes & process improvement as needed.
- Managing & maintaining a pro-active flow of communication within the department including feedback from the Director & referring physicians & updates on projects & initiatives.
- Attending monthly managers' meetings; presenting updates on projects and initiatives
- Assisting the Director in the PT/OT Department annual budget process.
- Maintaining files & records according to Duly, & HIPAA guidelines as appropriate & as relevant
- Participating in professional development through continuing education

EDUCATION and / or CERTIFICATION/LICENSURE:- Bachelor's degree in Physical Therapy
- Current PT/OT license in the state of IL
- Demonstrated computer skills including Microsoft Word, PowerPoint, & Excel
EXPERIENCE:- 3-5 years' experience in PT Management, preferably including Marketing responsibilities
The compensation for this role includes a base pay range of $92,000-$139,000 with the actual pay determined by factors such as skills, experience, education, certifications, geographic location, & internal equity.
Additional compensation may be available through shift differentials, bonuses, & other incentives. Base pay is only a portion of the total rewards package.
