Full Job Description
Senior Manager, Legal Operations

Department: Legal Affairs

Location: On site, Laval, QC (4204 boulevard Industriel, H7L 0E3)

Type of employment: Permanent, Full Time (40 hours)

THE ROLE

As a Senior Legal Operations Manager, you sit at the intersection of law, data, and technology. You are a hands-on builder who transforms how the Legal department operates - leveraging Microsoft 365 tools, automation, and AI to replace manual processes with smarter, more scalable ones.

You are comfortable in Power Automate, Power BI, and Excel, and you have a genuine curiosity for what AI and LLMs can do in a legal context. You don't need to have done everything - but you need to want to build, learn, and own your work.

You will work closely with attorneys and business partners to streamline how legal work flows, gets tracked, and delivers value. This is a role for someone who sees a manual process and immediately starts thinking about how to fix it.

WHAT YOU'LL DO

Want to start your career with us? Here's an overview of the main responsibilities of this position:

1. Workflow Automation & Process Improvement
  • Map and analyze legal processes to identify what can be automated, simplified, or eliminated.
  • Build automated workflows in Power Automate: contract intake and routing, approval chains, deadline notifications, matter status updates, and e-billing validations.
  • Design self-service intake forms and portals that replace email-based legal request handling with structured, trackable queues.
  • Document processes clearly so that automations are maintainable and team members can understand and build on your work.

2. Data, Dashboards & Reporting
  • Build Power BI dashboards that give Legal leadership visibility into matters, outside counsel spend, and team activity.
  • Develop Excel models for budgeting, cost tracking, rate benchmarking, and outside counsel performance.
  • Help establish data standards - how matters, spend, and activities are classified and recorded - so that reporting is reliable and consistent.
  • Reduce reliance on manual exports and one-off spreadsheets by connecting data sources to reporting tools.

3. AI & Intelligent Tools
  • Explore and pilot AI-assisted use cases within Legal: contract review support, clause extraction, document drafting assistance, request classification, and knowledge retrieval.
  • Configure and optimize Microsoft Copilot for legal workflows: build prompt templates, integrate with SharePoint, and help attorneys get consistent, high-quality outputs from AI tools.
  • Learn and apply prompt engineering principles to help Legal staff use AI tools effectively without needing technical expertise.
  • Help define responsible use guidelines for AI within the Legal function.

4. Legal Technology
  • Support the configuration, maintenance, and continuous improvement of the legal technology stack: CLM, DMS, legal intake, matter management, and e-billing platforms (Legal Tracker).
  • Help connect legal tools to the broader M365 ecosystem (SharePoint, Teams, Power Platform) so that data flows smoothly between systems.
  • Participate in system implementations and upgrades: contribute to requirements, help test, and support adoption by the Legal team.
  • Evaluate new tools with a practical lens: how does it fit what we already have, and will people actually use it?

5. Knowledge Management & Self-Service
  • Help build and maintain a structured legal knowledge base: organized templates, clause libraries, playbooks, and guidance documents.
  • Create document automation workflows that generate first-draft contracts or standard agreements from structured inputs.
  • Make it easy for attorneys and business stakeholders to find what they need without interrupting legal staff.

6. Outside Counsel & Spend Management
  • Support the management of Outside Counsel Guidelines and billing protocols, helping ensure they are followed consistently.
  • Build and maintain spend tracking models and firm performance scorecards using Power BI and Excel.
  • Automate the collection and structuring of billing data from the e-billing platform into reporting dashboards.

7. Enablement & Continuous Improvement
  • Help Legal and business teams become more confident and autonomous users of the tools and systems you build.
  • Create training materials and quick-reference guides that are practical and easy to follow.
  • Actively look for opportunities to improve how things work - and bring solutions, not just observations.

WHAT YOU'LL NEED

We want you to join our team! Here's what we're looking for:

Education:
  • Bachelor's degree in a relevant field (Business, Information Systems, Law, Engineering, or similar).
  • Certifications in Power Platform, data analysis, or project management are a plus - but what matters most is what you've actually built.

Experience:
  • 3+ years of experience in a role where you worked with data, built tools, automated processes, or supported business operations.
  • Experience with a legal environment (in-house legal department or law firm) is a significant asset.

Knowledge and skills:
  • Power Automate: You've built flows - even simple ones. You understand triggers, conditions, approvals, and connectors.
  • Power BI: You can build a dashboard from a data source. You're familiar with data modelling and basic DAX.
  • Excel: You're comfortable with structured data, Power Query, and building models that others can use and maintain.
  • Microsoft Copilot & LLMs: You've used AI tools in a professional or personal context, understand their limitations, and are curious about how they can be applied responsibly in Legal.
  • SharePoint & M365: You know how to organize information in SharePoint and are comfortable working within the M365 environment.
  • Legal Technology: Exposure to at least one legal platform (CLM, DMS, e-billing, matter management) is an asset - but not required.

Language skills:
  • Bilingualism required (Advanced French and English) both spoken and written, as the person will be required to work and communicate regularly in English while performing the tasks outlined above. Specifically, the role requires collaboration with global teams.

Benefits package:
  • Group Insurance Program: Stay healthy and happy! Our plan provides you with the flexibility to choose coverage that best meets your needs and add optional insurance (health and dental care, long-term disability, life insurance, health spending account)
  • Pension Plan: Plan for your future and retire with peace of mind with our pension plan, helping you build a secure financial future.
  • Share Purchase Plan: Invest in your future and share in our success with our employee stock purchase plan, allowing you to become a shareholder of Couche-Tard/Circle K.

  • Employee Discounts: Enjoy exclusive discounts on our products and services, making it even easier to fuel up and stock up on your favorite goodies.
