Senior Facilities Manager

Job Summary

The Senior Facilities Manager is responsible for the direct management of assigned properties and the leadership and oversight of a Facility Management team within the client's portfolio. This role requires managing facilities in accordance with all local, state, and federal mandates while delivering superior client service, team leadership, and account management. The position is heavily client-facing and external-facing, requiring exceptional customer service, communication skills, and the ability to build and maintain strong stakeholder relationships.

Essential Functions

Team Management & Leadership
• Develop an accountable, cohesive, and customer-focused Facility Management team through active management, support, and leadership
• Manage the performance and outcomes of assigned staff reporting to the position
• Foster collaboration within the facility management team to deliver integrated facility management services across all business lines (Engineering, Transactions, Projects, Planning)
• Execute successful team building with proven people management experience, strong interpersonal skills, and problem-solving ability
• Lead overall team management, staff development, and planning, including staff succession and growth plans
• Participate in the compensation planning process
• Build actionable and measurable career development plans for every direct report with consistent progress conversations
• Foster a culture of continuous improvement and innovation by leveraging business intelligence, introducing best practices, new tools, and process re-engineering

Client Relationship Management
• Provide superior client service while exercising functional responsibility for facility management services within assigned facilities and geography
• Exhibit exceptional customer service and communication skills in all client interactions
• Present operational performance updates, strategic recommendations, and business cases to senior stakeholders and client leadership with clarity and confidence
• Translate complex technical and operational information into compelling narratives that drive decision-making
• Deliver on all financial planning routines within assigned portfolio, including preparation and financial management of property budgets aligned with clients' goals and objectives
• Maintain overall facility management services consistent with the client's global standard processes and professional brand image
• Ensure functional, comfortable, compliant, energy efficient, and attractive facilities through periodic interior and exterior site inspections
• Provide overall facility services in accordance with the client's standard processes and procedures, including application of policies and programs
• Resolve critical impact tenant relations issues with accuracy and timeliness

Landlord & Third-Party Management
• Interface with landlords ensuring total compliance under all leases in place, with accurate and timely reporting
• Maintain interface with third-party owners, ensuring total contract (lease) compliance
• Support prompt collection of management fees and reimbursements from third-party tenants occupying space within client-owned premises
• Embrace tenant management programs as applicable

Financial & Operational Management
• Prepare, submit, and manage property budgets with variances tracked, reported, and fiduciary duties upheld
• Support ongoing cost reduction programs to reduce operating costs while maintaining desired environments
• Ensure smooth recovery processes for budget variances
• Ensure compliance with portfolio-wide initiatives and required local, state, and federal laws and regulations
• Manage and coordinate functional responsibility for facility management services within assigned facilities and geography
• Ensure minimal preventable incidents that create interruptions to ongoing operations
• Safeguard professional risk mitigation related to facility management services, including adoption of programs to enhance safety and compliance and minimize confidentiality incidents

Strategic Leadership & Cross-Functional Collaboration
• Leverage business intelligence, data, reporting, and analytics to drive efficiency and inform strategic decisions
• Lead cross-functional collaboration with internal teams including Finance, Legal, HR, IT, Procurement, and Risk Management to deliver integrated solutions
• Introduce service delivery efficiencies that enhance occupant satisfaction, wellness, safety, and productivity
• Explore and implement AI-powered tools and automation technologies to enhance team productivity, streamline workflows, and improve operational efficiency
• Champion the adoption of emerging technologies to automate routine tasks, improve data analysis, and drive continuous improvement
• Work with minimal supervision in a fast-paced environment with a high degree of innovation
• Perform additional job duties as requested

Minimum Qualifications

Required
• Bachelor's degree in Engineering or equivalent combination of experience and education
• 8-10 years of facility management experience with demonstrated ability to exercise proper judgment, including leading Integrated Facilities Management teams/services
• Proven track record of excellent internal and external customer service
• Strong leadership and relationship building skills
• Strong interpersonal skills and problem-solving ability
• Excellent verbal and written communication and presentation skills, including ability to present effectively to senior stakeholders
• Demonstrated ability to work effectively across organizational boundaries and build productive relationships with diverse functional teams
• Knowledge of standard commercial real estate, business, and accounting practices

Knowledge or willingness to utilize AI tools and technologies as a part of daily work activities
• Proficient skills in Microsoft Office Suite (Excel, Word, PowerPoint, Visio, Outlook, Access)
• Knowledge of Excel and ability to analyze data

Ability to manage multiple locations

Preferred
• Advanced degree
• CPM, RPA, or CSM designation
• Experience utilizing AI tools and automation technologies to drive operational improvements
• Track record of leading technology adoption or process improvement initiatives
• Experience serving as strategic advisor to senior client leadership on facility-related matters
• Experience leading cross-functional projects involving multiple departments and stakeholder groups
