What you'll be doing

The Senior Ecosystem Specialist champions a high-performance environment and participates with the development of a people strategy that attracts, retains, develops and motivates their colleagues by fostering an inclusive work environment; communicating vison/values/business strategy and provides input into the day-to-day management of the CIBC Square Facilities Team.

In this role, you will provide feedback in the creation of guidelines to govern the CIBC Square Ecosystems. Understand, prioritize and articulate challenges and successes of the Ecosystems and assist with solution development with the Sr. Manager, Workplace where necessary. You will Support Global Workplace Experience Strategy program and provide input to leadership and Facilities team about opportunities for reinforcing change program.

How you'll succeed

  • Facilities Management - Conduct daily morning inspections of the Ecosystems to ensure operational readiness, identify deficiencies and report to the Facilities Management (FM) shared mailbox for resolution or escalation. Liaise with Sr. FM team members for all premises related matters such as office moves, and coordination of premises and building related matters (relocations, office planning) while ensuring minimal interruptions to business operations.
  • Relationship Management - Address employee experience feedback received through emails, tenant requests and face-to-face interactions. Manage and resolve requests, concerns, issues and complaints escalated within the ecosystem related to maintenance, supplies, behaviours, etc.
  • Work Order Management - Monitor office and furniture requirements and service requests, submit work orders for required repairs of all equipment, furniture, premises, etc. Liaise with Day Custodians to ensure that deficiencies are reported, monitored and addressed. Manage and monitor the tenant work order system and inventory asset management system to ensure all work orders are adhered to per the SLA's.
  • Continuous Improvement - Embed Continuous Improvement approach in your day-to-day activities. Actively works towards enhancing and developing process improvements and conducts ongoing evaluation of the existing processes and practices.

  • You have demonstrated experience in administrative, business support or facilities coordinator function, in a fast-paced environment. It is an asset if you have a Post-Secondary education in Facilities Management or Hospitality Management.
