Overview
The Global Business Development team is responsible for New Business across the Groupe globally. The Operations team support large Global as well as key regional and local market pitches in the areas of pitch logistics, production, operations, as well as maintaining a self-serve function for markets to run smaller regional and local pitches independently.
The Associate will help and assist with new business pitches. The ideal candidate will be a well-organized multitasker with a passion for assisting others and contributing to the team's success. Superior organization and project management skills are essential, with the ability to keep an eye on the big picture. We are looking for someone who is highly motivated and who loves to make workflows/process simpler and more effective. This role will be a key part of the Global Business Development team supporting,
Responsibilities
KEY RESPONSIBILITIES
• Coordinate pitch logistics, including virtual, hybrid, and in-person sessions, in partnership with Business Development, Design, Pitch Experience, and IT/AV teams
• Conduct market and competitor research using industry sources i.e. COMvergence
• Build strong relationships with our NY office building resources, including our IT/AV teams, our wider Business Development Community and local market contacts.
• Administrative tasks - room bookings, work with the team's EA to help organize team events, etc.
• Build effective working relationships across Business Development, Operations, Design, local markets, and agency stakeholders
• Support in the completion of RFI and RFP responses through data sourcing and content development
• Support the end-to-end management of pitch processes including: pitch folder setup, TEAMS channels, aligning on ways of working, supporting on timing/project plans, diarizing key meetings, supporting work streams, and overall pitch logistics.
• Assist in the sourcing of biographies/profiles for key meetings and pitches
• Assist with Monday.com updates, supporting visibility across pitch activity and resource planning
• Support with tracking of pitch budgets and associated operational administration as required
• Leverage AI-enabled tools and solutions to improve efficiency, reduce manual work, and enhance team effectiveness
• Contribute to knowledge sharing and team development initiatives within the Global Business Development Operations team

Qualifications
• 2-4 years of agency, project management, or event planning experience preferred
• Good organization and analytical skills
• Proficient in Microsoft Office suite, including MS Excel and MS PowerPoint.
• An experienced user of Teams video conferencing
• Experience working across cross-functional and global teams preferred
• Proficiency with Teams, Monday.com, Salesforce, and related collaboration tools preferred
