Senior Associate, Client Experience

Location: This position will be based out of our Vancouver office.

The opportunity:

Reporting to the Senior Wealth Advisor & Senior Portfolio Manager, the Senior Associate plays a critical role in supporting the delivery of a high-touch wealth management experience for high-net-worth individuals, business owners, and families. Acting as a trusted operational partner to the advisory team, this role is responsible for the independent execution of complex administrative, client service, and investment-related activities while helping to ensure the seamless operation of the practice.

The Senior Associate serves as a resource to the advisor and team members, providing support across client service, administrative, and operational activities. Using industry knowledge and technology tools, this role helps ensure the efficient day-to-day operation of the practice while contributing to a positive client experience. The successful candidate demonstrates sound judgment, strong attention to detail, and the ability to manage multiple priorities in a professional and organized manner.

Key responsibilities include:

Client Service & Relationship Support

  • Deliver a personalized, high-touch service experience to high-net-worth individuals, families, and business owners with professionalism, discretion, and care.
  • Anticipate client needs and coordinate solutions to ensure seamless and responsive client experience.
  • Support Advisors in managing client relationships by coordinating meetings, preparing customized materials, and facilitating follow-up activities.
  • Act as a liaison between clients, Advisors, and internal partners, ensuring clear communication and exceptional service delivery.
  • Provide approved account information, portfolio updates, and transaction status reports in a timely and accurate manner
  • Take ownership of client requests, ensuring they are resolved efficiently and to the highest standard.
  • Contribute to a culture of service excellence by continuously seeking opportunities to enhance the client experience.


Account Administration & Transaction Support

  • Manage account opening, transfer, maintenance, and documentation processes, ensuring accuracy and regulatory compliance.
  • Execute trades and process client transactions, including deposits, withdrawals, electronic fund transfers, and other account-related requests in accordance with licensing, firm policies, and regulatory requirements.
  • Support the administration of complex client situations, including estates, trusts, corporate accounts, and wealth transfer matters.
  • Review and prepare documentation required for client transactions and account maintenance, including DocuSign packages and related forms.
  • Maintain accurate client records and files, ensuring all documentation meets compliance and audit requirements.


Operational & Administrative Support

  • Act as a key administrative and operational resource for Advisors and Associates across the practice.
  • Prepare daily, weekly, and ad hoc reports to support client service activities, portfolio management, and business operations.
  • Generate accounts, portfolio, and business reports utilizing firm-approved systems and technology platforms.
  • Perform a variety of administrative tasks including preparing correspondence, client communication materials, presentations, meeting documentation, statements, and tax-related documents.
  • Coordinate and track ongoing client service requests, ensuring timely completion and follow-through.
  • Monitor operational workflows and proactively identify and escalate issues requiring attention.


Technology & Process Management

  • Utilize platforms such as Salesforce, Croesus, DocuSign, and Microsoft Office to support client servicing and practice operations.
  • Maintain the accuracy and integrity of client data across multiple systems.
  • Contribute to process improvements and workflow enhancements that increase efficiency and support a seamless client experience.
  • Support technology adoption and best practices within the team to improve operational effectiveness.


Compliance & Risk Management

  • Ensure all activities are conducted in accordance with regulatory requirements, firm policies, and industry standards.
  • Proactively remain informed of compliance updates, regulatory changes, and company procedures.
  • Assist with compliance reviews, documentation audits, and risk management activities as required.
  • Exercise sound judgment and discretion when handling confidential client information and sensitive financial matters.


Team Collaboration & Practice Support

  • Act as a resource for Advisors and team members on administrative, operational, and account-related matters.
  • Collaborate with internal departments and external service providers to facilitate efficient client servicing.
  • Support special projects and business initiatives aimed at enhancing operational efficiency and client experience.
  • Contribute to a positive, professional, and collaborative team environment.
  • Perform other duties and responsibilities as assigned.


The ideal candidate will possess:

  • Bachelor's degree in business administration, finance, or similar field of study, or equivalent combination of education and experience.
  • Minimum 5 years of experience in wealth management, investment advisory, private wealth, or financial services industry.
  • Experience supporting high-net-worth clients, business owners, and multi-generational families is considered a strong asset.
  • Demonstrated experience managing complex account administration, including trusts, estates, corporate accounts, or wealth transfer scenarios.
  • Experience executing transactions and navigating regulatory requirements in a highly compliant environment.
  • Relevant industry licensing and/or designations required or in progress, such as:
    • Registered Representative (RR)
    • Investment Representative (IR)
    • Canadian Investment Regulatory Exam (CIRE)
    • Chartered Investment Manager (CIM®)
  • Proficiency with the MS Office suite, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Experience working with Croesus and Salesforce is considered an asset.
  • Ability to work independently with minimal supervision and demonstrate sound judgment in decision-making.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong attention to detail and commitment to accuracy.
  • Proven problem-solving skills with the ability to navigate complex client and operational situations.
  • Excellent verbal and written communication skills.

Conditions of employment:

Compensation & Benefits:

Range ($75,000.00 - $110,000.00)

The base salary represents Wellington-Altus's starting salary for this position. Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualification for the role. Salaries for part-time roles will be pro-rated based on number of hours regularly worked.

Base salary is one component of Wellington-Altus's total compensation package for employees, which may include performance-based incentives, commissions, or discretionary bonuses, as well as other perks and rewards. Wellington-Altus also offers health insurance, accident and life insurance, and other unique benefits per location.
