We9re looking for an experienced Senior Administrative Assistant to support multiple VPs within our Security and Product organizations. This role is a true executive partner-someone who can bring order to complexity, protect focus time, and help keep things running smoothly across a fast-moving, highly cross-functional environment. You9ll be a central connector between leaders, their teams, and cross-functional partners, handling sensitive information with discretion and applying strong judgment day-to-day.
How we9re using AI today
Our Engineering, Product, and Design teams are thoughtfully integrating AI across the full software and product development lifecycle to move faster without sacrificing quality or security. In practice, that looks like engineers using AI-assisted coding tools to accelerate reviews and catch bugs earlier, product managers synthesizing user research at scale, and designers rapidly prototyping and iterating with AI-generated mockups. We approach AI the same way we approach security: with clear principles, human accountability at every consequential decision point, and rigorous evaluation before anything ships to customers.
This is a remote opportunity within Canada and the US.
What we9re looking for:
34; 4+ years of experience supporting senior executives (VP level and/or equivalent), ideally in Security/Product.
34; Demonstrated strength managing competing priorities across multiple leaders with excellent judgment and calm under pressure.
34; Strong project management skills: you can take an ambiguous ask, define the work, and drive it to completion.
34; Ability to build enough technical/contextual understanding to anticipate needs and coordinate effectively with engineering teams.
34; High discretion and integrity with confidential information.
34; Clear, concise written and verbal communication; comfortable drafting exec-ready notes and messages.
34; Highly organized, detail-oriented, and systems-minded (you improve processes rather than just "keep up".
34; Proficiency with modern collaboration tools (Notion, Google Workspace, Slack, Zoom, calendar tooling).
What you can expect (day-to-day)
34; Own and optimize complex, multi-stakeholder calendars for Security and Product VPs (prioritization, tradeoffs, rapid changes, proactive planning).
34; Drive meeting hygiene and outcomes: agendas, pre-reads, the right attendees, action items, and follow-through.
34; Coordinate operating rhythms (team meetings, leadership syncs, planning cycles, business reviews, org communications).
34; Partner with VPs on priority management-anticipate conflicts, surface risks early, and propose options/solutions.
34; Manage travel and logistics (when applicable): itineraries, changes, expense support, and clear communication.
34; Serve as a trusted liaison to senior leaders, internal teams, and external stakeholders-ensuring timely, clear, professional communication.
34; Handle confidential information and sensitive topics with care, good security practices, and sound judgment.
Key outcomes (first 3-6 months)
34; VP time is reliably protected and aligned to top priorities; fewer "fire drills" and smoother transitions between weeks/quarters.
34; Operating rhythms run predictably with strong preparation and documented follow-through.
34; Stakeholders experience clear, responsive coordination and feel confident in how to engage the VPs.
34; Cross-VP coordination improves (shared meetings, dependencies, comms), reducing duplication and last-minute churn.
USA-based roles only: The annual base salary for this role is between $98,000 USD and $137,000 USD, plus immediate participation in 1Password9s benefits program (health, dental, 401k and many others), utilization of our generous paid time off, an equity grant and, where applicable, participation in our incentive programs.
Canada-based roles only: The annual base salary for this role is between $80,000 CAD and $112,000 CAD, plus immediate participation in 1Password9s generous benefits program (health, dental, RRSP and many others), utilization of our generous paid time off, an equity grant and, where applicable, participation in our incentive programs.
