THE ROLE

Recruiting Systems Administrator

We are looking for a Recruiting Systems Administrator to own the day-to-day administration and optimization of our talent acquisition tech stack. You will be the go-to expert for Greenhouse (ATS), ModernLoop (interview scheduling) and adjacent recruiting tools, including systems built in-house. You will keep these systems configured, connected, and running cleanly so recruiters and coordinators can move fast and hiring teams have a seamless experience. You will also help shape and maintain the talent tooling we build in-house. This is a hands-on role for someone who loves solving problems, tightening processes, and finding opportunities to automate repetitive work as we scale hiring across the business.

Responsibilities
  • Administer and configure Greenhouse, ModernLoop, and adjacent recruiting tools, including job templates, interview plans, scorecards, approval chains, and permissions.
  • Manage user access, roles, and permission groups across the TA stack, ensuring the right people have the right level of access and offboarding is timely.
  • Build and maintain recruiting workflows and automations that reduce manual steps for recruiters and coordinators.
  • Own data hygiene in the ATS, including deduplication, field standardization, and routine audits to keep reporting reliable.
  • Support integrations between recruiting tools and downstream systems, and partner with the Systems Engineers on troubleshooting data feeds.
  • Serve as tier-one support for recruiter and coordinator system questions, triaging issues and resolving them or escalating with clear context.
  • Coordinate with vendors on support tickets, release management, new feature rollouts, and configuration changes.
  • Document system configurations, standard operating procedures, and training materials so knowledge does not live in one person's head.
  • Identify and implement opportunities to automate recruiting operations, applying AI-enabled tooling to improve speed and accuracy.

Qualifications
  • 5+ years of experience administering recruiting or HR systems, with hands-on Greenhouse or comparable ATS administration.
  • Strong working knowledge of interview scheduling tools such as ModernLoop and their configuration.
  • Demonstrated experience managing user access, permissions, and workflow configuration in SaaS platforms.
  • A track record of improving data hygiene and building reporting-ready processes.
  • Experience supporting integrations between systems and coordinating with vendors on troubleshooting.
  • An automation mindset and comfort using AI-enabled tools to streamline repetitive operational work.
  • Excellent problem-solving skills and strong attention to detail, with the ability to translate recruiter needs into system solutions.
  • Clear written communication and a habit of documenting processes for a scaling team.
  • Experience with SQL and APIs a plus


All posted ranges are reflective of base salary and may vary depending upon experience level and location. Bonus and equity may also be provided for eligible roles.

Pay Range

$126,000-$172,000 USD
