About the RoleThe Recruiting Coordinator owns the machinery behind Hark's hiring: interview scheduling, candidate communication, our ATS, and the reporting that tells us whether the process is working. You will be the first person to touch most candidates after a recruiter does, and often the last person they see on an onsite day. The experience you create is a large part of how candidates decide whether Hark is a place they want to be.
Responsibilities- Manage candidate logistics and communications while balancing the needs of candidates, recruiters, and hiring managers.
- Own the day-to-day administration of our ATS (Greenhouse), including configuration, data hygiene, troubleshooting, and ongoing optimization.
- Build and maintain recruiting reports and dashboards that provide visibility into pipeline health and support data-driven decision-making.
- Design and launch new recruiting programs, processes, and tools; lead enablement sessions for recruiters and interviewers and serve as the ongoing point of contact.
- Proactively identify process gaps and operational issues, and resolve them before they become bottlenecks.
- Maintain and optimize our talent operations stack, ensuring ATS, scheduling, sourcing, and other recruiting tools are integrated and running smoothly.
Requirements- 2+ years of experience in recruiting coordination, talent operations, or a similar role in a fast-paced environment; startup or high-growth experience preferred.
- Experience with ATS and scheduling platforms, with strong proficiency in Google Workspace and tools such as Ashby, Greenhouse, or similar systems.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple moving pieces without letting things fall through the cracks.
- Strong written and verbal communication skills and a thoughtful, candidate-first approach.
- Ability to prioritize effectively, move quickly, and adapt as hiring needs and schedules change.
- A proactive, operational mindset - you look beyond completing tasks to identify ways to improve processes and make the team more effective.
Bonus Qualifications- Experience supporting technical hiring for AI/ML, research, or hardware teams, and familiarity with what those interview loops look like.
- Experience as the first or an early recruiting hire at a startup, with a track record of building recruiting processes, systems, and infrastructure from the ground up.
CompensationThe US base salary range for this full-time position is between $75,000 - $120,000 annually.
The pay offered for this position may vary based on several individual factors, including job-related knowledge, skills, and experience. The total compensation package may also include additional components/benefits depending on the specific role. This information will be shared if an employment offer is extended.
