Full Job Description
What this job involves: The Projects Team Lead Coordinator will serve as the operational backbone for JLL's Project & Development Services (PDS) team. Working directly with the PDS Director and leadership team, you will coordinate the day-to-day operations of a rapidly expanding, geographically distributed team while ensuring seamless communication, organized onboarding, and effective adoption of Ingenious, the centralized project management platform. This role requires exceptional organizational skills, proactive leadership support, and the ability to manage multiple priorities in a fast-paced environment. You will be the go-to resource for keeping leadership informed, the expansion on track, and the team connected as it grows across multiple regions domestically and internationally.

What your day-to-day will look like:
  • Provide operational support to the PDS Director and leadership team by managing schedules, preparing meeting materials, tracking action items, and ensuring timely follow-through
  • Coordinate leadership meetings by preparing agendas, capturing decisions and action items, and distributing follow-up communications
  • Maintain and manage the master expansion tracker, monitoring hiring milestones, onboarding status, regional deployment, and platform adoption across all 127 roles
  • Coordinate onboarding logistics for incoming Project Managers and PMO staff, including system access, orientation scheduling, equipment setup, and stakeholder introductions
  • Manage Ingenious platform coordination activities including user setup, access provisioning, training logistics, and maintaining the team's resource library of templates and guides
  • Produce weekly and monthly dashboards summarizing hiring progress, project pipeline, platform usage, and flagging any risks or issues to leadership
  • Own the team's operational calendar including leadership meetings, all-hands sessions, client check-ins, training sessions, and milestone reviews
  • Draft, edit, and manage internal and client-facing communications on behalf of the PDS Director, ensuring accuracy, professionalism, and timeliness
  • Maintain organized document repositories including SOPs, org charts, project trackers, and meeting notes with proper version control


Required qualifications:
  • 4+ years of experience in a project coordinator, executive assistant, operations coordinator, or team lead support role within professional services, real estate, or construction environments
  • Proven ability to support senior leaders and manage competing priorities in fast-paced, growth-oriented settings
  • Experience coordinating across multiple stakeholders and workstreams simultaneously with strong attention to detail and follow-through
  • Proficiency in Microsoft Office 365 suite (Outlook, Teams, Excel, PowerPoint, SharePoint) and ability to learn new tools quickly


Preferred qualifications:
  • Experience supporting large-scale team expansions, integrations, or organizational change programs
  • Familiarity with project management tools and technology platforms such as Ingenious, Procore, or similar systems
  • Associate's or Bachelor's degree in Business Administration, Communications, Real Estate, or related field


Travel Requirement:
  • Ability to travel up to 20% as needed

Estimated compensation for this position:

73,500.00 - 106,700.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
