Job Description

Reporting to the Vice President of Communications and Marketing, the Project Specialist will act as aChief of Staff, supporting strategic initiatives led by the VP and working cross-functionally across all areas of Communications and Marketing, Corporate Affairs and the enterprise. The Project Specialist will play a vital role in creating strategy for the teams, driving the smooth operation of the division, and ensuring all initiatives stay on track to meet broader company goals.

The ideal candidate will be proactive, detail-oriented, and possess strong organizational and analytical skills, using data and metrics to continuously improve team performance and support a mission-driven organization.

Responsibilities

Core Responsibilities
  • Chief of Staff & Strategic Leadership:Act as the primary Chief of Staff to the VP of Communications, serving as a trusted advisor, preparing meeting agendas to drive team development, authoring and finalizing strategic documents, serving as proxy for the VP in key stakeholder meetings, drafting social media/LinkedIn content for executive channels, driving leadership follow-ups, independently resolving complex issues and escalating issues as appropriate.
  • Strategy Creation:Partner with the VP of Communications to develop and drive overarching strategies for the Communications and Marketing teams to ensure alignment with corporate priorities and long-term objectives.
  • Metrics & Analytics:Establish and leverage metrics and analytics to evaluate team performance, identify areas for operational improvement, and implement data-driven solutions to optimize productivity.
  • Goal Tracking & Execution:Keep the division on track to its goals by developing and implementing robust tracking systems to monitor project progress, identify potential risks, and ensure the timely delivery of key project objectives.
  • Cross-Functional Liaison: Direct and align cross-functional projects, guiding enterprise-wide initiatives and ensuring cross-departmental integration
  • Process Improvement:Continuously assess and improve current workflows, documentation processes, and organizational procedures for maximum efficiency.
  • Stakeholder Communication:Effectively communicate project updates, strategic shifts, and performance metrics to leadership and key stakeholders.
  • Additional Support:Perform additional tasks when necessary to support the organization and the Company's mission.


Qualifications

Required Education/Experience
  • Bachelor's Degree in Communications, Marketing, English, Journalism, or related field and 6 years of related work experience. or
  • Master's Degree and 4 years of related work experience.
Relevant Work Experience
  • Must demonstrate ability to accept challenges and solve problems, required.
  • Must exercise good judgment and render sound decisions, required.
  • Must have excellent oral and written communication skills, required.
  • Must demonstrate a positive work ethic in support of the Company's Corporate Values and Missions, required.
  • Must be well organized, detail oriented and flexible to handle multiple assignments, required.
  • Experience with project management, requried.
  • Experience with corporate communications (internal or external), and/or marketing, preferred.
  • Experience advising and partnering directly with senior executives or leading enterprise-wide initiatives, preferred.
  • Proven ability to influence without direct authority, advise senior leadership, and navigate complex organizational dynamics, required.

Additional Physical Demands
  • The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
