Job Summary

Project Manager I is responsible for assisting Boston based Principals with multiple projects of various sizes at any stages from initiation through completion, supporting all of: successful delivery aligned with client expectations, design intent, schedule, and budget. This role supports the Boston PIC, may have client contact or consultant contact or multidisciplinary teams contact. Many of the tasks will be organizational or administrative in nature. Attention to detail, timeliness, and ability to self-manage and independently complete multiple small defined tasks is a must.

Essential Functions

Tasks:
  • Calling or writing emails to obtain or share information
  • Drafting memos or letters or emails or proposals based on existing templates
  • Either taking or editing, then distributing meeting minutes
  • Maintaining project directories and updating file-share or document-sharing platforms and similar communication related tasks
  • Updating contact's information in Vantagepoint (training is available)
  • Updating schedules (Microsoft Project, training is available)
  • Updating financial charts (Vantagepoint, training is available) to track project progress, talking to the team's production leads to ascertain progress
  • Scheduling meetings/calendar management for the two individuals

  • Assume special projects and duties as assigned or requested.

Experience:
  • 6-10 years of professional experience, including demonstrated support responsibility for multiple simultaneous tasks using the core competencies below.
  • Proven ability to work independently.
  • Proficiency in MS Word, capable in MS Excel
  • Capable in Teams/Zoom (training available). Email + text will also be important communication tools.
  • Familiarity with the construction or architecture field is ideal

    • Able to communicate with PIC about task progress, questions or information needed.
    • Open, honest, able to deliver 'bad' or 'good' news directly, clearly in a timely manner
    • Ability to be customer-service oriented and patient, yet firm while assisting clients or consultants who may be experiencing change/stress. Ability to discern and communicate to supervisors if clients' stress is increasing
  • Excellent Phone Skills
    • Effective phone communication and phone answering skills
    • Able to place phone calls to request information, deliver information, set up meetings, and change meetings
  • Very strong writing ability
    • Ability to proofread, excellent grammar, neat, clear and organized
    • Efficient in using templates to draft memos and cost proposals, emails and similar documents from verbal descriptions or short emails.
  • Ability to manage several initiatives at once
    • Be highly organized with time, filing/locating work in the appropriate project, maintaining a list of priorities and expected timeframe to completion to supervisors
    • Be efficient at switching tasks
    • Be effective at working with many different types of teams and clients
  • Ability to contribute to a fun and dynamic office environment

  • Ability to connect with and effectively work and interact with the office/teams

Travel to work sites and other offices may be required.
