Who You Are:
The Project Manager is responsible for leading cross-functional projects that support ExtensisHR's strategic initiatives, operational improvements, and business priorities.
This role partners with business stakeholders, technology teams, and vendors to plan, execute, and deliver projects that drive business value. The successful candidate will be comfortable managing multiple priorities, facilitating collaboration across teams, and ensuring projects remain on track to meet objectives.
As a key member of the PMO, the Project Manager provides structure, communication, and accountability throughout the project lifecycle. This individual will help drive successful project delivery by managing plans, coordinating stakeholders, tracking risks and dependencies, facilitating issue resolution, and supporting the achievement of business outcomes.
What You'll Do:
Project Leadership:
- Experience leading cross-functional projects from initiation through implementation that support business goals.
- Partner with business leaders to define project objectives, scope, timeline, success measures, and project plans.
- Translate business objectives into actionable project plans, milestones, and deliverables.
- Drive project momentum, accountability, and decision-making in evolving or ambiguous environments.
- Manage multiple high-priority initiatives simultaneously while balancing competing business needs and resource constraints.
Project Execution:
- Develop and maintain project plans, timelines, RAID logs, requirements, status reporting, and project documentation.
- Identify, manage, and proactively mitigate project risks, issues, dependencies, and resource constraints.
- Ensure projects are delivered on time, within scope, and aligned to business objectives.
- Manage scope changes, schedules, and stakeholder expectations throughout the project lifecycle.
- Coordinate internal teams and third-party vendors to support successful project execution.
- Follows established PMO standards and contributes to continuous improvement.
Stakeholder & Executive Engagement:
- Build strong partnerships across departments and with senior leadership.
- Facilitate alignment across business, operational, and technology teams.
- Prepare and present executive-ready status updates, recommendations, risks, decisions, and action plans.
- Lead project meetings, team workshops, stakeholder discussions, and status updates.
- Escalate issues appropriately and provide recommendations for resolution.
- Assist with project-to-operations transition planning to ensure sustainable ownership and adoption of delivered solutions.
AI Utilization and Literacy:
- A key function of this role includes the effective use and understanding of artificial intelligence (AI) tools and technologies to enhance productivity, decision-making, and overall performance. This position is expected to maintain awareness of emerging AI applications relevant to their responsibilities, apply AI tools ethically and effectively, and continuously develop their AI proficiency.
Performs additional responsibilities as assigned to support the efficient operation of the department and the organization.
What You Bring:
Required Qualifications:
- 3-5+ years of project management-related experience managing cross-functional initiatives, stakeholders, risks, timelines, and project delivery.
- Proven success managing complex, cross-functional projects with multiple stakeholders, dependencies, and competing priorities.
- Experience working with business leaders, project sponsors, and cross-functional stakeholders.
- Demonstrated ability to take initiative, solve problems proactively, and manage projects independently.
- Strong leadership, facilitation, problem-solving, and organizational skills.
- Excellent written and verbal communication skills, including executive-level presentations and reporting.
- Experience with project management methodologies, frameworks, and reporting.
- Advanced proficiency with Microsoft Office Suite, and project management tools.
Preferred Qualifications:
- Project Management Professional (PMP) certification or Certified Associate in Project Management (CAPM) strongly preferred.
- Experience in PEO, payroll, HR outsourcing, benefits administration, professional employer services, or related industries.
- Experience leading transformation, process improvement, automation, or technology implementation initiatives.
- Experience working with CRM systems, HRIS systems and enterprise business systems.
- Familiarity with Agile, Hybrid, and traditional project delivery methodologies.
- Experience supporting executive steering committees, PMOs, and organizational change initiatives.

Physical Demands:
- Ability to sit or stand for extended periods while performing desk-related tasks.
- Prolonged use of a computer, keyboard, and mouse, requiring repetitive motion.
- Ability to lift and carry office supplies or equipment up to 20 pounds.
- Occasional bending, reaching, and twisting to retrieve files or supplies.
- Ability to walk throughout the office, including moving between different departments or meeting rooms.
- Ability to communicate effectively in person and via phone or video conferencing.
- Ability to focus and maintain attention for long periods while working on various tasks.
- Must be able to communicate effectively in both verbal and written form.
- Occasional travel may be required.
- The work environment is typically quiet and climate-controlled, with standard office equipment available.
- This role may be performed in a hybrid or remote setting, depending on business needs and employee accommodation.

Position Salary:
$100,000 - $115,000
