Full Job Description
Provide administrative oversight of licensed Facilities, Engineering and Maintenance software used for System-wide control of facilities infrastructure, asset, and CMMS projects by having thorough understanding of the software, providing training in its use to internal and external users, providing support to all users, designing and maintaining workflows, and maintaining overall organization and operational maintenance to ensure optimum performance. Also provide typical administrative support to the Facilities, Engineering and Maintenance Department by conducting research, preparing statistical reports, and handling information requests.

This position will work Monday through Friday during standard business hours. At times, this position can travel to other UPMC facilities as needed. If you have prior experience in IT along with experience with CMMS, look no further and apply today!

Responsibilities:

  • Oversee all functional aspects of UPMC's facilities management software to include training, process workflow design and operation, system-wide support, and liaison with software vendors.
  • Provide administrative leadership in the initial set up and implementation of all facilities software.
  • Oversee the initial set up of projects, file structures, roles and responsibilities, and document management.
  • Respond to issues related to software performance and user difficulties.
  • Oversee software enhancements to coordinate with UPMC requirements.
  • Provide training and mentoring of new users, internally and externally to ensure successful utilization of all facilities software programs.
  • Work with Corporate Vice President to develop and maintain policies related to UPMC's use of facilities software programs.
  • Assist Corporate Vice President in maintaining all standard documents and the department Operations Manual to ensure consistency system-wide.
  • Interact with staff at all levels in a professional and efficient manner to assist in the functioning of the Facilities, Engineering and Maintenance Department, being flexible, proactive and resourceful.
  • Manage the Department Share Point sites.
  • Prioritize and manage multiple assignments simultaneously, working with multiple managers.
  • Use sound judgment and knowledge of UPMC and its policies and procedures to respond to questions and requests.


Qualifications:

  • Associates Degree in business, IT or related field and ten years' experience in increasingly responsible administrative support role
    • OR High School Diploma and twelve years experience and five years' experience in support at the executive level.
  • Experience and working knowledge of the use, management and customization of software, preferably related to facilities software programs. Experience with document control practices and accounting and budgeting software, preferably PeopleSoft.
  • Knowledge of the use and management of share point sites and websites.
  • Proficiency in core MS Office applications including Word, Excel, PowerPoint and Outlook. Proficiency in use and management of licensed software platforms. Calendar management skills, including the coordination of complex executive meetings
  • Experience assisting management with the creation of PowerPoint presentations. Experience scheduling travel arrangements for management.
